Job Summary: The Human Resource Officer will oversee all administrative tasks related to payroll management, attendance management, Leave management, staff records, employee welfare, and reporting within the Human Resources department.
Key Duties and Responsibilities:
Payroll Management The HR Officer will manage payroll at Nice House of Plastics, including but not limited to:
- Preparing monthly overtime schedules for review and approval by the Group Head of HR.
- Compiling end-of-month salary reconciliation reports.
- Administering salary advances.
- Ensuring the accuracy of all bank payments related to salaries.
- Filing necessary statutory payments (PAYE and NSSF) by standard guidelines and deadlines.
Attendance Management The HR Officer will be responsible for managing attendance, including but not limited to:
- Monitoring absenteeism rates.
- Extracting daily attendance reports and recommending corrective actions for staff not complying with attendance regulations, updating the HRBP daily.
- Employee Welfare Management
Leave Management
- Drafting leave plans for different sections and forwarding them to HR by July 30 of each financial year.
- Monitoring monthly leave utilization to reduce leave liability.
- Providing leave status reports to the HRBP by the 30th of every month.
- Ensuring staff adhere to guidelines regarding annual and sick leave before taking leave.
- Managing sick leave for all staff in a cost-effective manner.
- Updating insurance on all GPA incidents and medical issues to ensure staff receive appropriate care.
- Monitoring cleanliness around factory premises as per established procedures.
- Collecting daily feedback on staff meals and updating the HRBP accordingly.
- Manage medical insurance schemes and all insurance schemes.
Administrative Tasks
- Drafting staff letters.
- Entering various transactions in the system, such as PRS.
- Addressing staff issues daily.
- Following up with staff whose contracts are expiring, providing the HRBP with a notification two months in advance.
- Monitoring staff whose probationary periods have ended and notifying the HRBP one month before expiration.
- Maintaining a regularly updated monthly staff list that includes new hires and exits.
- Conducting daily plant visits.
- On a monthly basis gather all staff suggestions from the suggestion boxes and extract a report which is to be submitted to the HRBP by 30th of September 2024.
- Check and update the HRBP on a monthly basis on all staff whose retirement is almost due.
Staff Induction
- Ensuring new staff are properly inducted and provided with a positive employee experience at Nice House of Plastics, including but not limited to:
- Drafting induction plans.
- Ensuring adherence to induction programs.
- Organizing necessary paperwork for staff to sign.
- Liaising with departmental heads to set up meetings with new staff.
Staff Filing
- Ensuring all staff records are filed properly and kept securely.
- Maintaining safety for all personal files.
Reporting
- Provide a monthly report to the HRBP by the 30th of each month.
- Submitting daily attendance reports that capture late arrivals and absenteeism.
Key Performance Indicators for the Role
- Salaries will be paid out to staff by the 25th of every month.
- Daily attendance reports are sent out by 8:00 am to the HRBP.
- Employee feedback about suggestions is given to all staff by the 5th of every new month and pinned on notice boards.
- HR reports are submitted by the 5th of every new month.
- Leave Liability at 0 by the end of the financial year.
Qualifications, Skills and Experience:
- Minimum of a bachelor’s degree or higher in Human Resources, Business Administration with a bias in Human Resource Management, and Bachelor of Industrial and Organizational Psychology. Excellent knowledge of various HR functions such as pay & benefits, onboarding and good interpersonal skills.
- Minimum of two years of relevant experience in a similar role in a manufacturing environment.
