Job Summary: Reporting to the Operations Officer, the Temporary Office Assistant – Maternity Cover will be responsible for providing professional, efficient and effective Office support services for Alight Oruchinga Office and perform other duties as assigned time to time by the supervisor.
Key Duties and Responsibilities:
- Receive and attend to visitors with professionalism and good customer care.
- Prepare and send office correspondences as requested.
- Update and maintain the monthly Warehouse tracker.
- Manage the store and update the stock cards.
- Raise requests for office supplies and consumables in order to ensure timely replenishment.
- Supervise and monitor cleaning services offered by Incentive Workers and compiling the timesheets for operations incentive workers.
- Record all Office supplies movements in and out of stores and ensure that the stock cards are kept up-to-date.
- Compile quarterly needs for office supplies and submit them to your supervisor for onward approval and procurement.
- Ensure that the general Office comfort items, Compound and Sanitary supplies and materials are acquired timely, stocked and available for use by the Incentive Worker Cleaners.
- Ensure lights, utilities and facilities in general office areas are switched off, or powered down, including lighting in common areas.
- Photocopy and file all Office documents as assigned.
- Perform any other duties assigned to you by the supervisor.
Qualifications, Skills and Experience:
- At least Ordinary Level Education, certificate in office management or diploma will be an added advantage, with at least 1 year experience in administration, support, business administration, preferably in a similar position or combination of both education and experience.
- Experience in working with multi-cultural environments
- Good communication and interpersonal skills.
- Ability to work in a team.
- Demonstrate strong interpersonal skills and commitment to work in a team – oriented, in a multi-disciplinary setting within a matrix management and ability to interact professionally at all levels.
- Proficiency in using advanced functions of computer applications such as Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Sound organizational skills and ability to prioritize and deliver assignments as required, and ability to work under pressure and to meet tight deadlines.
- Ability to draft and translate simple correspondence as required.
- Demonstrated organizational skills – resourcefulness, manage time and confidential information.
- Good command of English language (verbal and written) and other languages common in Oruchinga settlement camp.
- Excellent phone etiquette ensuring calls and messages are routed timely manner to the proper source.
