Our state-of-the-art manufacturing facility, situated in Matugga, Wakiso district, Uganda, shall produce high-quality medicines across a wide range of therapeutic areas.

 

Job Summary:  DEI BioPharma Ltd., a Drugs and Vaccines Manufacturing Plant is seeking eligible and qualified applicants for the position of Warehouse Officer. The Warehouse Officer will oversee the daily operations of the warehouse, ensuring that all pharmaceutical products, raw materials, and supplies are stored, handled, and dispatched in compliance with GMP (Good Manufacturing Practices) and safety regulations. The Warehouse Officer will be responsible for inventory management, coordinating shipments, and ensuring accurate documentation of all warehouse activities.

 

Key Duties and Responsibilities:

  • Oversee the accurate tracking and management of inventory levels for raw materials, packaging supplies, and finished goods.
  • Conduct regular stock counts, audits, and reconcile discrepancies in inventory records.
  • Ensure that inventory is stored according to BioPharma standards, including temperature control, proper labeling, and rotation based on expiration dates.
  • Supervise the receipt of incoming shipments, ensuring that materials are inspected for quantity, quality, and condition.
  • Verify shipments against purchase orders and ensure that materials meet the required BioPharma specifications.
  • Ensure proper documentation of all received goods, including certificates of analysis, packing lists, and other relevant paperwork.
  • Ensure that all materials are properly labeled, stored, and organized in designated areas based on BioPharma standards (e.g., Good Manufacturing Practices (GMP).
  • Monitor storage conditions such as temperature, humidity, and cleanliness to ensure compliance with BioPharma regulations.
  • Implement and oversee stock rotation practices to minimize waste and prevent expired materials from being used in production.
  • Oversee the picking, packing, and distribution of materials and products to internal departments or external customers.
  • Ensure that orders are fulfilled accurately, on time, and in compliance with BioPharma regulations, including proper packaging and labeling for sensitive materials.
  • Coordinate with logistics providers for the timely and secure shipment of products.
  • Maintain an organized, clean, and efficient warehouse layout to optimize space utilization and ensure easy access to materials.
  • Implement and enforce warehouse safety protocols, including the use of personal protective equipment (PPE), proper handling of hazardous materials, and adherence to safety guidelines.
  • Ensure compliance with BioPharma safety standards and regulatory requirements, including Good Storage Practices (GSP).
  • Maintain accurate and up-to-date records of all warehouse activities, including inventory transactions, material receipts, shipments, and stock movements.
  • Ensure that all documentation is properly filed and accessible for audits or inspections by regulatory bodies.
  • Use warehouse management systems (WMS) to track and manage inventory data.
  • Collaborate closely with production and quality control teams to ensure that materials are supplied on time and meet the required quality standards.
  • Ensure that materials are released for production only after quality control approval, and that rejected materials are segregated and properly handled.
  • Communicate any delays or issues with material availability to relevant departments.
  • Ensure that warehouse operations comply with regulatory requirements, including Good Manufacturing Practices (GMP), Good Distribution Practices (GDP), and other applicable BioPharma regulations.
  • Prepare for and assist in internal and external audits or inspections by regulatory authorities.
  • Supervise warehouse staff, ensuring that they follow standard operating procedures (SOPs) and comply with safety and regulatory standards.
  • Provide training to warehouse staff on proper material handling, safety procedures, and the use of warehouse management systems.
  • Ensure that warehouse staff are cross-trained to handle various roles and tasks within the warehouse
  • Oversee the proper disposal of expired or damaged materials in accordance with BioPharma and environmental regulations.
  • Ensure that waste materials are handled and documented in compliance with waste disposal guidelines and procedures.

 

Qualifications, Skills and Experience:

Education: 

  • Bachelor’s Degree in Supply Chain Management, Logistics, Warehouse Management, or a related field.
  • Additional certification in Warehouse Management, Inventory Control, or Supply Chain Operations is an advantage.

Experience:

  • 3-5 years of experience in warehouse management, inventory control, or logistics, preferably in a BioPharma, pharmaceutical, or manufacturing environment.
  • Experience in handling temperature-sensitive materials and controlled substances in compliance with Good Manufacturing Practices.

Job knowledge:

  • Familiarity with BioPharma regulatory requirements, including GMP, Good Distribution Practices (GDP), and Good Storage Practices (GSP).
  • Strong understanding of warehouse management systems (WMS) and inventory tracking software.
  • Knowledge of material handling equipment, such as forklifts, pallet jacks, and automated storage system.
  • Language: English level IV (Advanced knowledge) Reading/Writing/Speaking is required.
