Job Summary: The Accounts payable officer ensures that all payable information is readily available and understandable, answers and resolves supplier queries, facilitates on time payment of suppliers, ensures that no invoices are paid unless due and checked. The role will have no one reporting to them. Interactions with Internal and external Customers and Vendors.
Key Duties and Responsibilities:
Supplier Accounts
- Data capture all supplier invoices.
- Do creditors reconciliations 100% and have them signed off by the supplier monthly.
- Process payments (flexy, cheques and bank-EFT) and ensure there are no unposted payments older than 10 days
- Follow up with the payment approvals to ensure that payments are released in a timely manner
- Check all Creditors reconciliations are current and up to date – no long outstanding items over 30 days.
- Obtaining monthly supplier statements
- Ensure Creditors payment terms are aligned to the Group policy of 60 days and 120 days
- Applying the appropriate tax treatment for all payments done
- Actively managing supplier relationships (effectively communicating and responding to queries)
Financial Administration
- Provide administrative support to internal customers and suppliers.
- All creditors’ payments to be made within agreed payment terms, ensuring that discount is obtained where possible.
- Process invoice receipts in a timely manner.
- Automation of the petty cash process
- Centralization of the invoice receipt process to finance
- Balance sheet reconciliations assigned prepared and submitted within the required timelines.
- Ensure all supporting documentations are filed appropriately and in an organized manner
- Judgement and decision making
- Agile in thinking and nimble in decision making
- Exhibits high level of financial pragmatism and prudent financial judgment
