Job Title:   Assistant Administrative Secretary, Directorate of Human Resources (3 Jobs)

About the Company:

Makerere University, Kampala is Uganda’s largest and oldest institution of higher learning, first established as a technical school in 1922. It became an independent national university in 1970. Today, Makerere University is composed of nine colleges and one school offering programmes for about 36,000 undergraduates and 4,000 postgraduates.

 

Job Summary:  Provide administrative and secretarial services to the unit.

 

Key Duties and Responsibilities:

  • Manage and ensure harmonious working relationships amongst staff under his/her care;
  • Oversee the creation, proper maintenance, storage, retrieval of electronic and manual records;
  • Receive and make official calls in a cost effective and courteous manner;
  • Establish a register for and oversee the use and maintenance of office equipment and facilities;
  • Produce reports and draft general correspondences, memoranda and speeches;
  • Arrange for both local and international itineraries;
  • Organize and maintain a schedule for workshops, meeting and other official events;
  • Provide secretarial services to the unit;
  • Requisition, maintain and account for financial and other resources in the course of duty;
  • Provide custody of stationery and office equipment for the office;
  • Perform any other related duties assigned by the supervisor.




Qualifications, Skills and Experience:

  • Honour’s Bachelor’s degree in Secretarial Studies or Office Management from a recognized institution.

Skills/Competences      

  • Ability to handle clients in a courteous manner;
  • A team player with good interpersonal skills;
  • Good communication skills;
  • Proficiency in using MS Office with a typing speed of at least 40 words per minute;
  • Time management.

 

Age Limit: APPLICANTS SHOULD NOT EXCEED FIFTY FIVE (55) YEARS OF AGE AT THE TIME OF APPLICATION.
