Job Summary:   The Accounting Coordinator is responsible for providing operational support to the accounts’ office and administrative support to workshops and meeting.  S/he has primary responsibility of ensuring that accounts documents are scanned and filed properly to the accounts store, the technical team is well facilitated with the documents required in processing payments such as registration forms, and may be required to support the registration process. He/She will be required reconcile vendor accounts monthly, payment review for staff travel expenses, be a custodian for petty cash.

 

Key Duties and Responsibilities:

Document Achieving (90%)

  • Stamp vouchers before filing.
  • Scan all accounting documents and file them on the Shared drive.
  • File the hard copies of the vouchers in box files in a chronological order.
  • Support the technical team and workshops with registration of participants.
  • Reconcile vendor accounts on a need basis and ensure that no outstanding issues.
  • Record, receipt & bank all cash refunds
  • Keep the petty cash in a safe box
  • Prepare monthly VAT donor report for the review of the senior accountant.
  • Perform other duties as may be assigned from time-to-time

Payment processing (10%)

  • Review & prepare staff travel advances timely.
  • Review vendor invoices to ensure they meet donor requirements & follow up on the corrective action.
  • Ensure that monthly invoices for electricity, water, security, cleaning are submitted timely.
  • Monitor staff advances and ensures that all advances are cleared / collected on time.
  • Prepare advance analysis as required.





Qualifications, Skills and Experience:

  • Required Minimum Education
  • Required: 1- 2 Years of hands-on experience in accounting & record keeping

Knowledge and Skills

  • Capacity to deal with multi-tasks and be able to adhere to tight deadlines in a busy environment, and excellent time management skills.
  • Excellent oral and written communication skills and fluency in English
  • Positive, proactive and courteous customer service attitude
  • The ability to work as part of a team and independently.

Competencies

  • Scan & review a document for completeness.
  • Identify missing support documentation before filing a document and communicate to the supervisor timely.

  • Carrying box files to and from the accounts stores
