Job Summary:   The Program Officer will ensure the successful planning, implementation, and monitoring of projects within the organization. This position involves coordinating project activities, managing resources, and maintaining communication among team members and stakeholders. The Programme Officer is responsible for planning activity implementation, tracking project progress, preparing reports, and ensuring that projects are completed on time, within scope, and within budget. The ideal candidate will possess strong planning and organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Programme Officer will work closely with the MEAL Officer and Programmes Manager and other team members to achieve project objectives and deliver high-quality results.

 

Key Duties and Responsibilities:

Project Planning and Coordination

  • Assist in the development of programme and activity plans, including defining programme scope, objectives, timelines, and deliverables.
  • Coordinate programme activities, resources, and information.
  • Ensure all programme documentation is maintained and updated.

Implementation and Monitoring

  • Monitor programme progress and address potential issues.
  • Track programme performance using appropriate systems, tools, and techniques.
  • Conduct regular reviews to ensure that the programme meets deadlines and standards.

Communication and Reporting

  • Act as the point of contact and communicate programme status to all participants.
  • Prepare and distribute programme reports, presentations, and updates.
  • Ensure that all stakeholders are aware of programme developments and any changes.
  • Coordinate with internal teams and external stakeholders for the flawless execution of projects.

Resource Management & Mobilization

  • Participate in donor mapping, resource mobilisation and grant proposal writing,
  • Assist in managing project resources, including personnel, materials, and equipment.

Budget and Financial Management

  • Assist in the preparation and management of programme budgets.
  • Monitor expenditures and ensure that programme costs remain within budget.

Risk Management

  • Identify and assess programme risks and issues.
  • Develop and implement mitigation strategies to manage risks.

Quality Assurance

  • Ensure that all programme deliverables meet the required quality standards.
  • Conduct quality assurance and quality control activities as needed.

Documentation and Compliance

  • Maintain comprehensive programme documentation, plans, and reports.
  • Ensure compliance with organizational policies, procedures, and regulatory requirements.

Support and Administrative Tasks

  • Provide administrative support to programme teams.
  • Organize meetings, workshops, and training sessions related to the programme.




Qualifications, Skills and Experience:

  • Education: Bachelor’s degree in Education, Development Studies, Social Work and Social Administration, Social Sciences, Gender and Development, or related field. A Master’s degree or certification in Project Management is an added advantage.
  • Experience: Proven 3 years’ experience as a Programme Officer or similar role in donor or government funded projects in the fields of education, gender, child protection or community development.
  • Experience in resource mobilisation and grant proposal writing and working with secondary schools is highly desirable.

Requirements and Skills:

  • Should possess excellent report writing skills,
  • Community based training and stakeholder mobilisation skills,
  • Excellent written and verbal communication skills,
  • Solid organizational skills including attention to detail and multi-tasking skills,
  • Strong working knowledge of MS Office package and email etiquette
