Job Summary:  The Human Resources and Administration officer will assist the Manager of Finance and Administration in the implementation of human resources and administrative functions as stipulated in the STIA Human Resources manual. He she will be responsible for staff welfare and wellbeing, coordinate recruitment processes, leave management, general administration and quality record keeping.

 

Key Duties and Responsibilities:

Human Resources Management:

  • Assist in implementing strategic human resource policies that enable the RIFI-STIA to effectively fulfil its mandate by supporting the recruitment of the right type of staff, and deploying and developing them effectively;
  • Manage the recruitment process of the RIFI-STIA permanent, project and temporary staff (including interns and volunteers)
  • Administer the letters of appointment (new letter of appointment or extension) and other personnel documents about staff appointments;
  • Organize and coordinate induction courses for new staff as well as the refresher course for all staff;
  • Maintain the staff members’ records both in hard copies and soft copies in the system;
  • Maintain the consultant register, administer agreement/contract and the documents filing of consultants in both hard copies and electronic copies;
  • Ensure to maintain and update the accurate job descriptions within the organization;
  • Maintain insurance matters related to staff, as well as liaising with the insurance company;
  • Maintain the leave record management system and verify annual leave records;
  • Assist in coordinating training activities for staff in line with human resource development strategy;
  • Organize probationary and annual performance evaluation exercises for all RIFI-STIA staff.
  • Prepare exit separation documents for staff members leaving the RIFI-STIA Organization.

Administrative Duties:

  • Manage the filing, storage, and security of RIFI-STIA documents;
  • Manage the administrative requirements for the repair and maintenance of office and computer equipment
  • Assist in managing the RIFI-STIA’s facilities, including premises and equipment; fixed assets inventory; insurance; and office renovations where necessary;
  • Ensure adherence to the RIFI-STIA’s administrative rules and procedures;
  • Perform other related duties as required as assigned by the Finance and Admin Manager.




Qualifications, Skills and Experience:

  • Preferably a Bachelor’s Degree in Humana Resources Management, Education, Development Studies, Business Administration or relevant studies. If the candidate’s first degree is not in Human Resource Management, a postgraduate qualification in Human resource management is a MUST.
  • At least 2 (two) years of proven experience within a reputable organization in the areas of human resources and or administration.
  • Exposure to relevant activities dealing with various international organizations, related institutions and/or private sector is desirable
  • Managerial Skills
  • Good emergency management skills;
  • Good command of oral and written English;
  • Good communication skills;
  • Good relationship management skills
  • Ability to establish a coherent course of action to achieve goals, ability to translate plans into actions, organize work, monitor & review outcomes, and communicate the results clearly both orally and in writing;
  • Ability to build trust and respect among fellow team members and contribute to the resolution of workplace conflict;
  • Ability to express thoughts clearly, accurately, and succinctly verbally and in writing to different audiences, and ability to relate well with others and to maintain relations with cordiality and diplomacy;
  • Ability to interact effectively with people from different cultures, ability to multi-task and remain efficient and productive under pressure;
  • Ability to respond positively to change and new organizational practices, structures, procedures, and technology; and
  • Has high regard for self-discipline, good attendance record, respect punctuality and sets an example to others, shows consistency in words and actions, has high integrity, and is conscientious.
