Job Summary: As a Front Desk/Receptionist at Norvik Hospital Ltd, you will be the first point of contact for patients, visitors, and vendors. Your primary responsibility is to ensure exceptional customer service and efficient administrative support at the hospital’s reception area.
Key Duties and Responsibilities:
- Greeting and Welcoming: Warmly greet patients, visitors, and vendors as they arrive at the hospital. Provide directions and necessary information about hospital services.
- Appointment Scheduling: Manage incoming calls and inquiries regarding appointments. Schedule appointments accurately using the hospital’s appointment scheduling system.
- Patient Registration: Register new patients by collecting necessary personal and medical information. Verify insurance coverage and ensure all registration forms are completed accurately.
- Billing and Payments: Assist patients with billing inquiries, accept payments, and issue receipts. Coordinate with the billing department for any billing-related issues.
- Records Management: Maintain and update patient records in accordance with hospital policies. Ensure confidentiality and security of all patient information.
- Handling Queries: Respond to patient inquiries regarding hospital services, procedures, and general information. Redirect inquiries to appropriate departments when necessary.
- Administrative Support: Provide administrative support to various hospital departments as needed. This may include data entry, filing, and preparing documents.
- Emergency Response: Follow hospital protocols in case of emergencies or urgent situations at the reception area. Remain calm and assist in implementing emergency procedures.
- Communication: Maintain clear and professional communication with patients, visitors, and hospital staff. Relay messages promptly and accurately.
- Adherence to Policies: Adhere to hospital policies and procedures related to patient care, privacy, safety, and administrative protocols.
Qualifications, Skills and Experience:
- University Diploma/Degree or equivalent. Additional certification/Training in Insurance administration or related field is an added advantage
- Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting.
- Excellent communication and interpersonal skills.
- Proficiency in using computerized systems, including appointment scheduling and electronic medical records.
- Ability to handle multiple tasks efficiently and prioritize responsibilities.
- Compassionate and empathetic approach towards patients and visitors.
