Key Duties and Responsibilities:

  • Manage accurate and timely movement of cargo to- and from specific locations within the service standards agreed with the Customer
  • Manage Vendor facing communication and shipment related internal
  • communication between DBSchenker stakeholders
  • Manage Customer facing communication and shipment related internal communication between/with DB Schenker stakeholders
  • Supervise the execution of country specific customs clearance processes
  • maximizes shipment profitability, and decreases operating expenses
  • Responsible for managing the team incl. hiring of new team members and ensuring that proper induction is provided
  • Procure multimodal FCL, LCL pre/on-carriage services by truck, rail or barge
  • Create solutions- and pricing for FCL, LCL ocean freight services for Sales Teams.
  • Responsible for selecting the most optimal service (cost, lead times, reliability…).
  • Proactively manage performance of Vendors through setting and monitoring of transparent, uniform KPIs.
  • Conduct regular and documented performance reviews with vendors including actionable continuous improvement measures.
  • Manage Customers profitability and initiate corrective actions if required (timeliness &completeness).
  • Manage workload of team and ensure optimum productivity.
  • Act as escalation point and resolve cross team conflicts.
  • Escalate unresolved issues to next management level.
  • Ensure operations is executed efficiently and with high quality.
  • Ensure land and ocean carrier utilization as per trade management carrier guidelines.
  • Ensure CFS, gateway and co-loader utilization as per LCL management guidelines.
  • Create and maintain a limited pool of providers (“Vendor Portfolio”).
  • Review actual customer volumes versus awarded volume (including pricing) and adherence to carrier guidelines.
  • Ensure high level of documentation quality and corresponding KPIs
  • Review and sign-off shipping documentation (e.g., SCHENKER ocean Bill of Lading).
  • Ensure accurate cost and revenue reserves are in place.
  • Ensure all activities in TMS (TANGO) are completed on time.
  • Ensure compliance with Customer specific KPI’s – as applicable.
  • Ensure all operational SOPs are properly followed.
  • Ensure all operational KPI’s are achieved.
  • Monitor overall credit performance.
  • Manage customer profitability and branch P/L.
  • Ensure month end closing is timely and properly executed.
  • Ensure new customers are properly onboarded.
  • Ensure incoming vendors and network partners invoices are posted
  • in a timely manner against existing cost accruals in TMS (TANGO).
  • Ensure month-end closing activities and reporting are performed as per Operational Accounting SOP.
  • All entries captured right with zero errors.
  • Ensure that all exemptions are dealt with timely.
  • Coordinate all aspects of shipments from file opening to closing.
  • liaising with all stake holders to ensure above average customer experience.
  • Generate daily status reports for all shipments and inform customers accordingly.
  • Handle all exceptions and contingencies.
  • always keeping the customer in mind.
  • Manage individual & team performances and balance workload.
  • This includes but is not limited to, annual staff goal setting and annual staff performance appraisal.
  • Responsible for branch P/L.
  • Responsible for implementing new processes, standards, guidelines when required.
  • Responsible for operational productivity, Perspex cost and cost per unit reduction.
  • Responsible for operational quality and corresponding KPI.
  • Responsible for selection of service providers based on portfolio, cost and service quality.

  • Manage and resolve invoicing disputes and claims with Vendors.
  • Manage and resolve Customers disputes and claims.
  • Establish regular communication with Regional Trade Management regarding Carrier selection.
  • Responsible for continuous improvement (digitalization) and the implementation of global processes.
  • Ensure that digital channels are Schenker Kenya Limited, People and Organization used when communicating with vendors (eBooking, eshipping instructions …).
  • Promote a paperless, digital office environment utilizing all modern communication methods and electronic tools provided by DB Schenker.
  • Support a positive, attractive working atmosphere and office environment.
  • Escalate service/ technical issues as needed.
  • Explore upsell opportunities with customers.
  • Any other duties within the scope of your job that may be assigned to you from time to time.

  • DQ -100% in import and export events
  • 100% equipment (Containers) return
  • 100% Adherence to procedures
  • Import/transit clearing – 7 days
  • Export processing – no missed sailing, no truck detention
  • 0% delays and losses




Qualifications, Skills and Experience:

  • Diploma in Clearing & Forwarding
  • Ability to lead and manage teams
  • Ability to multi-task
  • Effective communication skills and professional communication etiquette
  • Fluency in written and spoken English
  • Fluency in written and spoken [local] language
  • Perform well under pressure
  • Strong computer (Windows PC) skills
  • Typing skills (at least 30 words per minute)
  • Decision-making and problem-solving skills
  • Ability to prioritize and manage time
  • Attention to detail and accuracy
  • Organizational skills
  • Must work well within a team
  • Ability to lead vendor process reviews and QBRs

 

Experience:

  • Up to date training on relevant customs systems and procedures
  • Comprehensive knowledge of the clearing and forwarding
  • industry, Incoterms, customs and government agencies
  • requirements
  • ASYCUDA training
  • Familiar with continuous improvement methodology
  • Experience min 7 years with at least 2 years supervisory role.
