Job Summary: The Program Associate role is a team supportive role to ensure smooth operational processes and timely execution of activities. The key roles will include organizing events, detailed minutes taking, managing partner engagements and close collaboration with the Finance and operations team for procurement and mobile money payment processes. The staff will work closely with EPI administrator to align participants contact list for specific activities and follow up communications which need to go through the EPI admin office.
Key Duties and Responsibilities:
- Organizing and managing events and calendar invites for vaccines team engagement.
- Support communication related activities under the malaria vaccine and immunization scope.
- Making follow ups on meeting invites and tracking both email phone confirmations from partners.
- Follow up on partner engagements for PATH led vaccine and immunization activities.
- Drafting activity budgets and managing travels for the team at both national and subnational level for the regional engagements
- Populating the partner’s database and contacts
- Prepare participants’ payment documents for timely payments and fast track the payment process including communicating with participants for any anticipated delays in the process.
- Setting up zoom webinars/teams meetings for the team and calendar management.
- Actively participate in stakeholder engagements and take minutes for the meetings.
Qualifications, Skills and Experience:
- The applicant should preferably a degree in social sciences, business administration, development studies or other health field.
- At least three years of experience working with a health-related program at national or sub national levels.
- Proven experience as a program/project or administrative associate
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and task management tools like Smartsheet, Box is an added advantage.
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
