Job Summary: The Office Administrator will be a key member of the administration and finance department. The primary role is act as the point of contact for all employees, providing administrative support, managing office stock, preparing regular reports that is expenses and office budgets and organizing company records.
Key Duties and Responsibilities:
- Carry out administrative duties such as filing, typing, copying, binding, scanning all company documents and generating reports and presentations, setting up for meetings and take minutes.
- Maintain and update finance team on verification of source documents before payments are made, support and monitor utilization of disbursed funds to staff as well as review field activity plans and budgets.
- Manage and verify petty cash accountabilities, expenditures and submission of timely weekly cash counts and requisitions for petty cash replenishment.
- Providing real-time scheduling support by maintaining executive calendars, booking appointments and shared resources like conference rooms, projector to prevent conflicts.
- Screening phone calls and routing callers to the appropriate managers and or employees.
- Act as the point of contact for internal and external clients as well as liaising with executives and senior managers to handle requests and queries.
- Performs any other duties as may be assigned from time to time.
- Provide accounting and clerical support to the accounting department.
- Type accurately, prepare and maintain accounting documents and records.
- Prepare bank deposits, general ledger postings and statements.
- Reconcile accounts in a timely manner.
- Daily enter key data of financial transactions in database
- Research, track and restore accounting or documentation problems and discrepancies.
- Inform management and compile reports/summaries on activity areas.
Qualifications, Skills, and Experience:
- Bachelor’s degree in Accounting, business administration, or relevant field.
- At least three to five years of experience preferably gained within the engineering sector.
- Strong knowledge and understanding of all office administration and required support and operations for efficiency.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work.
