Job Summary: The Finance & Operations Associate – Uganda will play a crucial role in ensuring the efficient functioning of HTI’s in-country operations and workspace locations. This individual will provide comprehensive administrative support to the Country Director and Finance & Operations Manager and will assist with finance, logistics, operations and manage various administrative duties to uphold organizational effectiveness. This role reports directly to the Finance & Operations Manager – Uganda.
Key Duties and Responsibilities:
Finance & Operations:
- Provide administrative support to the Country Director and Finance & Operations Manager, particularly in handling logistics.
- Assist the Finance & Operations Manager in financial tasks such as data entry, petty cash, and expense tracking.
- Provide support in making travel arrangements for HTI’s team members, including booking accommodations and transportation as needed.
- Support financial record-keeping and execute administrative duties such as filing, copying, binding, scanning, etc., to maintain organized records and documentation while ensuring accuracy and compliance with organizational policies and procedures.
- Ensure the operation of equipment by completing preventive maintenance requirements, coordinating repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Respond to information requests from both internal and external stakeholders in a timely and professional manner.
- Manage supplies inventory by monitoring stock levels, anticipating supply needs, and placing orders to replenish inventory as necessary.
Projects:
- Provide support to the team in coordination and planning events and trainings for HTI in Uganda, including venue arrangement, vendor management, attendee invitations, partner liaison, and communications planning.
- Support in the organization of program-related travel and logistics for guest speakers, trainings, and events, ensuring smooth coordination and execution.
- Attend meetings, retreats, and other HTI events to provide administrative support and facilitate logistical arrangements.
- Undertake additional project assignments as required to support the overall objectives of HTI.
Qualifications, Skills and Experience:
- Bachelor’s Degree in Accounting, Business Administration, Commerce, Management, Finance, or a related field preferred.
- A partial or full professional qualification in CPA, ACCA or CFA will be an added advantage.
- At least three (3) years of relevant work experience in a similar or related position.
- Proven experience in administrative roles, preferably in a non-profit or international organization context.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment and software.
- Impeccable attention to detail, excellent organizational, planning and time management skills.
- Excellent verbal, written, and interpersonal communications skills.
- Disciplined with priorities, efficient, works well under stress.
- Self-motivated and articulate.
- Personable, mature judgment, discerning, emotionally intelligent.
- Experience supporting multiple projects and outcomes at the same time.
