Job Summary: As a member of McDermott’s global Sustainability & Governance team, support social sustainability at project site.
Key Duties and Responsibilities:
Administrative Support:
- Provide administrative assistance to the social department, including scheduling meetings, managing calendars, and handling correspondence
- Communicate scheduled appointments, book meeting rooms, take minutes and manage staff calendars
- Maintain organized filing systems and databases, ensuring accurate and up-to-date records of departmental activities and resources
Social Activity Coordination:
- Assist in coordinating and tracking various activities and initiatives led by the social department, ensuring timely completion and adherence to deadlines
- Collaborate with team members to allocate resources, track project social milestones, and monitor progress against goals
Communication Facilitation:
- Serve as a primary point of contact for internal and external inquiries related to the social department, responding promptly and professionally to requests for information and assistance
- Assist in drafting written communications, including memos, and correspondence on behalf of the social department.
- Collect, organize, and store information using computers and filing systems
Logistical and Event Coordination and Support:
- Assist in planning and coordinating departmental events, workshops, and conferences, including venue booking, logistics coordination, and participant communication
- Provide on-site support during events, ensuring smooth execution and addressing any logistical or operational issues as they arise
- Co-ordinate with the transport department for logistical support
Budget Management:
- Ensure office is stocked with necessary supplies and all equipment is working and properly maintained
- Collaborate with finance and procurement teams to ensure compliance with budgetary guidelines and procurement procedures
- Perform any other duties assigned by Social Lead and Social Manager
Qualifications, Skills, and Experience:
- Bachelor’s degree in Business Administration, Communications, Sociology, or related field preferred
- 3+ years of relevant work experience with proven experience in administrative support roles, preferably in a social department or related environment
- Strong organizational and interpersonal skills and attention to detail, with the ability to prioritize tasks and manage multiple workloads simultaneously
- Excellent written and verbal communication skills, ability to develop and maintain cooperative working relationships with stakeholders involved in project operations
- Ability to work independently with minimal supervision and as part of a collaborative team
- Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment
- Knowledge of social issues and familiarity with social programs and initiatives is desirable but not required
- Ability to analyze data and verbal and written communication with ability to write reports
- Good reporting skills, data management skills, comfortable using digital tools and databases, including Microsoft Office suite and project management tools
- Fluent English language skills required
