Job Title:  Executive Assistant to the Vice Chancellor (Admin Jobs)

Job Summary:  LivingStone International University is seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to the Vice Chancellor. The Executive Assistant will play a key role in ensuring the smooth operation of the Vice Chancellor’s office and supporting strategic initiatives of the university. The ideal candidate will have strong communication and organizational skills, along with the ability to handle confidential information with discretion.

 

Key Duties and Responsibilities:

  • Manage the Vice Chancellor’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Serve as the primary point of contact for internal and external stakeholders, including students, staff, faculty, and partners.
  • Draft and edit correspondence, reports, and other documents on behalf of the Vice Chancellor.
  • Conduct research and compile data to support decision-making and strategic planning.
  • Coordinate special projects and initiatives as assigned by the Vice Chancellor.
  • Maintain filing systems and ensure accurate record-keeping.
  • Handle confidential information with discretion and professionalism.
  • Perform general administrative tasks such as answering phones, managing email correspondence, and ordering office supplies.




Qualifications, Skills and Experience:

  • Bachelor’s degree in Business Administration, Public Administration, or a related field.
  • Proven experience in executive support or administrative roles.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and exercise discretion.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently with minimal supervision.
