Job Summary: We are seeking a dynamic Project Operations Coordinator to join our fast-paced company. This role is ideal for someone who is highly organized, detail-oriented, and passionate about contributing to various aspects of our operations. The successful candidate will assist with administrative tasks, support strategic initiatives, coordinate marketing efforts, maintain our websites, and keep management informed of software development progress and general organizational housekeeping.
Key Duties and Responsibilities:
- Software Development Liaison: Act as a bridge between the software development team and management, providing regular updates on project status, challenges, and achievements. Facilitate clear communication channels and collaboration between technical and non-technical stakeholders.
- Project Tracking and Reporting: Utilize project management tools to track progress on key initiatives, prepare updates, and reports for stakeholders, ensuring projects remain on schedule and within budget.
- Client Liaison: Act as the primary point of contact for clients, ensuring their needs are met promptly and maintaining a strong, positive relationship between the clients and the company. This includes handling client inquiries, feedback, and facilitating meetings or communications between clients and relevant internal teams.
- Strategic Planning Support: Participate in strategic planning sessions, providing administrative support, compiling research, and preparing presentation materials to assist in decision-making processes.
- Grant Proposal Management: Conduct research to identify grant opportunities
- relevant to the company’s objectives. Assist in the full lifecycle of grant management, from application to compliance and reporting.
- Marketing and Social Media Strategy: Assist in developing and executing a cohesive social media strategy across various platforms to enhance audience engagement and brand visibility. Analyze performance metrics to refine marketing efforts.
- Content Creation and Management: Collaborate with the marketing and product teams to create compelling content for the website, blogs, newsletters, and social media.
- Ensure all content is on-brand and consistent in terms of style, quality, and tone.
- Internal Communication: Facilitate internal communications, ensuring all team members are informed of important updates, changes in strategy, or company achievements. Organize regular team meetings and circulate agendas and minutes.
- Event Planning and Coordination: Assist in the planning and execution of company events, webinars, and workshops, managing logistics such as venue selection, attendee registration, and material preparation.
- Personal Assistant Tasks for Leadership: Perform specific administrative tasks for senior leadership, such as scheduling meetings, managing emails, and arranging travel, as needed.
Qualifications, Skills and Experience:
- The applicant must hold a bachelor’s degree in Software Engineering, Computer Science, Electrical Engineering or a related field is preferred.
- Experience with website maintenance and basic knowledge of digital marketing strategies is a plus.
- Strong organizational and planning skills, with the ability to multitask and manage priorities in a fast-paced setting.
- Excellent communication and interpersonal skills, capable of working collaboratively with diverse teams.
- Proficient in office software (e.g., Microsoft Office, Google Suite) and capable of learning new tools as required.
- Proficiency with Project Management and Coordination Tools like Jira.
