Job Summary: The Administrative Officer will play a crucial role in ensuring the smooth day-to-day operations of the accounting firm. They will be responsible for managing administrative tasks, coordinating office activities, and providing support to staff and clients.
Key Duties and Responsibilities:
- Oversee general office operations and ensure efficient workflow.
- Manage office supplies, equipment, and maintenance.
- Coordinate and schedule meetings, appointments, and travel arrangements.
- Assist in the preparation of reports, presentations, and correspondence.
- Handle incoming and outgoing communication, including emails, phone calls, and mail.
- Maintain and update filing systems, databases, and records.
- Assist in HR-related tasks such as onboarding new employees, maintaining employee records, and organizing staff events.
- Handle basic accounting tasks such as invoicing, expense tracking, and petty cash management.
- Provide administrative support to various departments as needed.
- Ensure compliance with company policies and procedures.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Business Administration, Accounting, or a related field.
- Proven experience in administrative roles, preferably in an accounting or professional services firm.
- Excellent organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Ability to work effectively both independently and as part of a team.
- Familiarity with office equipment and basic accounting principles is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving and decision-making abilities.
