Job Summary: We are seeking a highly organized and personable individual to join our team as the Front Desk Administrative Assistant for our Head Office. As the first point of contact for visitors, clients, and employees, you will play a vital role in creating a positive and professional first impression. You will also provide essential administrative support to various departments within the company.
Key Duties and Responsibilities:
- Greet visitors and clients warmly and professionally, directing them to the appropriate person or department.
- Answer and screen phone calls, transferring them to the relevant staff member or taking messages accurately.
- Provide exceptional customer service to clients, suppliers, and other stakeholders.
- Respond to inquiries in person, via phone, or email promptly and courteously.
- Process incoming and outgoing mail and deliveries.
- Schedule appointments and meetings for staff members.
- Monitor and maintain office supplies inventory; reorder supplies as needed.
- Assist with travel arrangements for staff as needed.
- Assist in managing head office vehicle travel plans.
- Maintain a clean, organized, and professional reception area.
- Assist in administrative tasks such as data entry, filing, photocopying, and scanning documents.
- Assist in organizing company events and functions.
- Handle confidential information with integrity and discretion.
- Perform any other duties and responsibilities from time to time as may be assigned by your immediate supervisor per your job roles and prevailing conditions.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in business administration, Office management, Secretariat studies, or any other related field
- Two to three years of experience in a Front desk administration role, preferably in the construction industry.
- Excellent communication, interpersonal, and organizational skills.
- Proficient in Using SAP and MS Office Suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong attention to detail and accuracy.
- Positive and professional demeanor.
