We identified how to deliver clean-energy powered equipment to off-grid communities, and also how to deliver these products so that they are affordable to smallholder agribusinesses.
Job Summary: This is a contract role for an Inventory, Procurement & Logistics Officer position based in Kampala. The role requires on-site presence and focuses on day-to-day tasks such as managing inventory control, organizing transportation, monitoring the shipment and delivery of goods, reviewing requisitions, ensuring compliance with procurement policies, and collaborating with other departments to ensure efficient operations.
Key Duties and Responsibilities:
Inventory Management (50%)
- Execute the inventory management of receiving, storing and issuing of materials to engineering department by all daily stock to update inventory
- To ensure the correct and timely valuation of the inventory as per Tulima costing system.
- Use software to update inventory levels, and manage the integrity and accurancy of all inventory information used at Tulima.
- Manage and continuously improve the process of dispatch, delivery and safe custody of materials at the respective stores (warehouses) and job sites to ensure efficiency and cost savings to the company.
- Continuously inspect, monitor and manage stock levels through periodic (weekly, monthly and quarterly) stock counts (and other measures) to ensure adequate stock availability for all distribution channels to cover existing demand, to identify shortages and to minimize wastage and obsolescence of materials.
- Hold all members accountable for lost or missing inventory by implementing the inventory Loss Policy
- Prepare detailed reports on inventory operations, stock levels, and adjustments.
- The reports will be shared with Accounts and President.
- Collaborate with the other department operation heads to regularly replenish stock avoiding insufficiencies or excessive surplus
- Analyze data to anticipate future needs
- Collaborate with store staff and other staff to ensure proper inventory management. Report to upper management on stock levels, issues etc.
Procurement and Logistics Management (30%)
- Collaborate with the office manager to identify vendors/ suppliers
- Analyze different suppliers to obtain the best cost-effective deals.
- Evaluate suppliers to achieve cost-effective deals and maintain trust relationships
- Manage global purchases (TZ, US and China) of pumps and panels and coordination of clearance at the border.
- Track of all office contract expire dates (lease agreement, security services etc.)
- Collaborate with the officer to manage logistics needs
Bid Management (20%)
- Identify opportunities for bid submissions and raising them with the President
- Conduct research and brainstorming key points to include in the bid.
- Craft persuasive and detailed proposals
- Ensure all deadlines are met
- Liaise with suppliers, vendors, and subcontractors
- Support the accounting team to keeping track of all costs and manage bid related budgets.
- Work closely with project managers, engineering team, estimators, and senior personnel.
- Conduct team briefings once bids have been secured.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor Degree in Procurement and Logistics, Business, Finance or Commerce;
- At least three years of experience in Inventory Management
- Two (2) years’ experience in Procurement Management
- Demonstrated experience in bid management
- Excellent writing is a strong plus;
- Advanced MS Excel skills and data management skills
- Knowledge in accounting is a plus
