Job Summary: The Temporary HR Associate is responsible for providing overall administrative, logistical, and coordination support to the Country HR team. The Temporary HR Associate is responsible for a full range of duties including, but not limited to: On-boarding, Filing Personnel documents, Leave management and Off-boarding among others. The Temporary HR Associate will be involved in additional Human Resource Management activities as requested. The Temporary HR Associate is aware of and adheres to human resources-related laws and regulations and with MSH’s Procurement Integrity standards. S/he handles information and documents relevant to human resources with a high degree of confidentiality, discretion, and attention to detail.
Key Duties and Responsibilities:
Filing 40%
- Maintain personnel files in compliance with applicable legal requirements and Global filing structure.
- Create both hard and e-files
- Scan all employee documents
- Routinely file documents and ensure files are complete at all times.
- Audit files on a monthly basis.
Leave Management 30%
- Participate in MSH Uganda leave management
- Ensure that all leave requests are authorized by supervisors, verified by HR before leave is taken.
- Ensure that leave hours taken by staff are accurately captured in the leave database.
- During the payroll processing period, verify leave information in the time sheets to ensure that it is accurately captured.
- Share the leave updates with staff on a weekly basis.
On-boarding 20%
- Prepare and coordinate the new hire on-boarding process, ensuring that:
- All new staff receive the new staff information pack before they report to work
- Ensuring that employees have identity/health insurance cards and have completed the relevant enrollment forms
- Orientations are conducted as per schedule; interim orientation within the first week of new hire employment, and general orientation is done
- Follow up with the supervisor and the new employee to ensure that the onboarding process has been completed (ie probation goals set, working tools available to new hire, end of probation performance management completed in time)
- Weekly update of the onboarding tracker
Off-boarding 10%
- Coordinate the process for separating employees
- Prepare letters confirming last date of employment
- Prepare acceptance of resignation letters in case an employee resigns
- Ensure that the exiting employee has completed all documentation and handed over
- Share the information for separating staff for payroll changes.
Qualifications, Skills and Experience:
- The applicant must hold a Degree in Human Resource Management or related discipline
- One to three years of experience handling HR related work
- Demonstrated knowledge of employment laws
- Generalist background with broad knowledge of the human resources functions.
- Able to work successfully and productively in a team environment or independently and deal with multitasks effectively.
- Strong ability to perform well in a high pressure and complex environment.
- Excellent problem-solving skills with the ability to envision and deliver innovative solutions.
- English fluency and strong administrative, organizational, and written and verbal communication skills.
- Advanced computer skills in word processing, database, and presentation, organizational professionally with culturally diverse staff, clients and consultants environment.
- Advanced computer skills in word processing, database, presentation, organizational chart and spreadsheet applications; Microsoft Office preferred, along with ability to learn new software packages
- Competencies: Excellent interpersonal skills and demonstrated ability to interact professionally with culturally diverse staff, clients and consultants.
- Must be available to travel within Uganda
