Kakira Sugar Limited (KSL) is a leading sugar manufacturer in Uganda. KSL boasts of two (2) sugar estates, one in Kakira – Jinja and the other in Kayunga.
Job Summary: The Senior Officer / Executive – Purchase will implement the procurement policies, operations, evaluate vendors/suppliers and ensure on time delivery.
Key Duties and Responsibilities:
- Receive and Review requisitions for clarity, adequate specifications/to ensure that bidders will be able to respond to the quotation appropriately as per specifications.
- Assist user departments in getting specifications and Terms of Reference right.
- Process Purchase Enquiries for purchase requisitions from the User Departments
- Float Purchase enquiries to the respective liaison Offices and follow-up for quotations
- Compare and evaluate offers received from suppliers
- Negotiate contract terms of agreement and pricing
- Follow-up with Users for timely technical clearance of the quotations.
- Prepare Approval notes and ensure to obtain necessary commercials approvals from the relevant authorities within validity of quotations.
- Issue / Track orders and ensure timely delivery
- Monitor stock levels and place orders as needed
- Enter order details (e.g. vendors, quantities, prices) into internal databases- SAP
- Maintain updated records of purchased products, delivery information and invoices
- Prepare monthly / annual reports on purchases, including cost analyses
- Prepare procurement transactions and provide a liaison link between suppliers and user departments
- Forward certified invoices to Stores for GRN and Accounts for payment.
- Rejections and quality issues to be resolved on top priority.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in procurement and Supplies / Business Administration or equivalent
- At least five years of relevant practical experience in the field of Procurement for Goods and Services
- Communication Skills: The position demands constant interactions with employees, management, and stakeholders throughout the business and, therefore, communication skills are an absolute necessity.
- Ms Office: A candidate for this position must be proficient in the use of Ms Word, Ms Excel, and PowerPoint, all necessary for the creation of not only visually but verbally engaging materials, reports, presentations, and proposals for departmental heads and management, stakeholders.
- Analytical Skills: A candidate for this position must be capable of gathering and interpreting raw information and data, documenting findings, and drawing appropriate recommendations.
- Interpersonal Skills: The candidate must be a helpful, calm and professional individual and demonstrate calmness during times of uncertainty.
- Good Customer Relations, Negotiation skills, effective Communication and Report writing skills.
- Proficiency in the application of IT/ERP systems such as SAP is must.
