Job Summary: The Administration Officer is responsible for supporting daily office operations and routine procedures and ensure that administrative activities of the company run smoothly on a daily medium and long-term basis. The key duties of the Administration Officer include office stock management٫ reporting on expenses and office budgets٫ organizing company records and providing administrative support to employees at Departmental Level.
Key Duties and Responsibilities:
- Schedule Appointments: Schedule in-house and external events٫ maintain corporate calendar and book meeting rooms, arrange travels and associated accommodation.
- Develop and Maintain a Filing System: Create and maintain an efficient documentation and filing system to manage important and confidential company documents.
- Provide Statistical and Budget Reports: Perform research and prepare presentations and reports about the results using appropriate spreadsheets٫ presentations and statistical packages.
- Office Management: Keeping Office equipment running smoothly to ensure that workflows can continue uninterrupted, and employees can complete projects on time and without any hiccups from machine malfunctions.
- Management of Office Supplies and Inventory: Maintain an inventory of the Office Supplies and other stock and regularly replenish as required and carry out regular security checks, health check-ups and sanitization routines such as pest control in the designated Office spaces and functional areas.
- Skilling and Capacity Development: Lead, mentor, develop, coach, train and appraise subordinates and peers to help them be successful in their roles and to progress in their skills and abilities.
- Reporting and Analysis: Develop and implement Monthly Work Plans necessary for executing the above duties and responsibilities and Performance Reports detailing all Office Administration aspects within the company.
- Any other duties assigned by the immediate supervisor.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree (Honors) from a recognized Institution.
- The applicant should have General Working Experience of at least Two (2) years. The applicant should have worked in a Front Office, Customer Service Center or served as an Administration Officer or related field in a reputable organization for at least One (1) year.
