Makerere University Walter Reed Project (MUWRP) is a non-profit biomedical research Organization, whose mission is to mitigate disease threats through quality research, healthcare and disease surveillance. MUWRP was established in 2002 by a Memorandum of Agreement between The Henry M. Jackson Foundation for the Advancement of Military Medicine, Inc. (HJF) and Makerere University (Mak) to undertake medical research to test HIV vaccines. Over the years, MUWRP’s portfolio has progressively expanded to include vaccine research for Ebola and Marburg viruses, surveillance of influenza and influenza- like viruses and other emerging infections in humans and animals; also epidemiological, basic and implementation research in HIV treatment, care and prevention programs in the Districts of Kayunga, Mukono, Buvuma and Buikwe.
Job Summary: The Medical Records Officer will work closely with health unit staff at MUWRP supported health facilities in Mukono, Kayunga, Kawolo to ensure continued entry of quality data in source documents. The incumbent will help update registers, ART cards and other source documents at the health units.
Key Duties and Responsibilities:
- Ensure correct use of HMIS tools at all service points in line with MOH/PEPFAR standards.
- Keep all registers up to date.
- Capture program data from various sources into MUWRP electronic databases – PWP, LTFU, Hub data, OVC, SMC, Care and Treatment.
- Compile facility HMIS/PEPFAR reports.
- Record community-based activity data in facility M&E tools.
- Provide real-time feedback and support for data accuracy, completeness, and timeliness.
- Enter program data into electronic databases to support tracking.
- Archive medical records according to SOPs.
- Assist in preparing quarterly data review meetings.
- Actively engage in CQI activities.
- Document follow-up rates for ANC, ART, TB, EID, and SMC.
- Ensure timely delivery of facility CRFs to the Data Management Centre.
- Support facilities in developing and implementing SOPs for releasing medical records while maintaining confidentiality.
- Monitor and maintain up-to-date HMIS tools and monitor stock levels.
Qualifications, Skills and Experience:
- The ideal candidates for the Medical Records Officer opportunity should hold a Diploma in Records Management
- One year of experience in a health setting with knowledge of managing medical records data.
- Computer applications knowledge is desirable.
- Ability to work with people and work under pressure.
- Willing to work and live in rural settings.
- Able to travel on water
- Ability to maintain confidentiality
- Ability to communicate in English and Luganda.
- Ability to permanently reside in Kayunga, Mukono, Kawolo.
- Ability to frequently travel to the MUWRP PEPFAR supported sites in Kayunga, Mukono, Buikwe and Buvuma Islands.
