The Medical Research Council (MRC UK) is an internationally recognised centre of excellence with dominant research themes in the areas of HIV and emerging infections, vaccines and immunity, and chronic diseases and cancer. Through a multidisciplinary approach, intersecting basic science, epidemiological research, social-behavioural research and the conduct of new intervention evaluation studies, the Unit contributes knowledge on changing epidemics and diseases, the evaluation of innovative health care options, treatment and prevention and the development of health policy and practice in Africa and worldwide. Following the signing of strategic transfer agreements between the London School of Hygiene & Tropical Medicine (LSHTM) and the Medical Research Council (MRC UK), the Unit formally joined LSHTM on 1st February 2018. The exciting new partnership will boost research capacity into current and emerging health issues in Africa and throughout the world. The Unit is based at the UVRI Entebbe campus with established outposts in Kalungu, Masaka, Wakiso and Kampala Districts.

 

Job Summary:   The Stores and Logistics Associate will support to the Stores and Logistics coordinator by ensuring that the Unit’s supplies are accurately received, correctly stored and issued to users or dispatched to field stations in a timely and efficient manner according to the approved Unit Standard operating procedures.

 

Key Duties and Responsibilities:

  • Oversee receiving, storage, issuing and dispatch of all supplies received for Entebbe, and those destined to the field stations, keeping track of documents for inventory movements, including acknowledgements for dispatched items;
  • Supervise the stores and logistics assistants in the field stations;
  • Ensure proper repackaging of outbound supplies, preparing dispatch notes, loading, and initiating transfer orders in MSD;
  • Coordinate transport requirements for movement of supplies from ENT to field stations and other locations;
  • Generate monthly purchase order fulfilment report and forward a list of unfulfilled/partially fulfilled Orders to the procurement team for follow up;
  • Responsible for the reviewing and verification of inbound and outbound supplies documents and safekeeping of the hard and soft copies;
  • Responsible for creating and maintaining the Excel Tracker for all supplies received at ENT;
  • Monitor stock receipts and requisitions ensuring that all received or issued items are posted in MSD the same day;
  • In charge of responding to queries from users regarding stock status, availability, and shelf life;
  • Responsible for identifying the Unit’s operational needs for office consumables and stationery and initiating the corresponding purchase requisition;
  • Responsible for monitoring stock levels in line with the Unit’s replenishment policy and advise users on items to reorder;
  • Responsible for submission of the Supply Chain KPI Report to the stores and logistics coordinator; and,
  • Prepare and submit monthly report on stock consumption and balances.
  • Supervise the field based stores and Logistics employees; Delegating daily tasks, observing each individual strength, initiating mentoring program to improve their areas of weakness streamlining daily progress and efficiency, boosting team member productivity by enhancing performance monitoring, annual appraisals and instituting motivational approaches;
  • Ensure the Stores and Logistics assistants under their line management control, comply with, and operate within the stores SOPs and MSD system at all times;
  • Train, mentoring and guiding team members to maintain high productivity and performance metrics;
  • Staff expectations are clearly communicated;
  • Staff performance is regularly monitored; and,
  • Potential conflicts are resolved promptly and decisively, involving HR support where needed.





Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in procurement and supply chain management, Logistics, inventory and stores management or a related course;
  • Additional training or working knowledge of the Microsoft Dynamics System (MSD) or a similar ERP system;
  • Membership to any Supply Chain Related Professional body e.g. CIPS, IPPU, CILT is an added;
  • Should possess at least three (3) years’ work experience in a busy store/ warehouse for a large and similar organization/institution;
  • Experience in logistics management and ability to work with minimum supervision;
  • Experience working with MS Office programs, office equipment (printer, copier, scanner);
  • Knowledge of working with MS Dynamics – Navision, Dynamics 365, or any ERP;
  • Should possess personal integrity;
