Reach Out Mbuya Community Health Initiative (ROM) is a Faith and Community-based organization providing holistic care to extremely vulnerable people living with HIV/AIDS. ROM holistically focuses on the body, mind, family, and community wellbeing.
Job Summary: The Procurement Assistant will process procurement requests, seek for quotations and prepare suppliers’ payments in line with the procurement and disposal policy.
Key Duties and Responsibilities:
- Follow-up orders placed with suppliers to expedite the delivery of the required items or services
- Maintain an up-to-date database on the existing and potential sources for procurement of the items and services required by ROM
- Process valid procurement requests
- Assist the user departments in assessing the suitability of the goods and services procured and their conformity to specifications and standards
- Check the specifications and terms of service for completeness and plausibility
- Assist in the opening of tenders and evaluations
- To source quotations from suppliers
- Prepare suppliers’ payments
- Prepare items for disposal and submit to the procurement committee
- Weekly update of the LPO tracker.
- Support timely review of vendor invoices, log sheets and reconciliations.
- Assist in ensuring effective documentation and filling of documents, in line with the filling system in place.
Qualifications, Skills and Experience:
- A Bachelor’s degree in Procurement and Supply Chain Management.
- Professional qualification in CIPS will be an added advantage.
- Three years of experience in the management of procurement activities in a fairly large organization, preferably donor-funded.
- Knowledge of Laws, policies, and regulations governing procurement.
- Specific reference to PPDA is critical; knowledge in making procurement plans and smooth procurement operations
