Job Title: Principal Assistant Election Officer/Secretary (2 Positions)

About US:
The Electoral Commission of Uganda, also Uganda Electoral Commission, is a constitutionally established organ of the Government of Uganda, whose mandate is to “organise and conduct regular, free and fair elections” in the country, in an efficient, professional and impartial manner. It was established under Article 60 of the Constitution of the Republic of Uganda.
Job Summary: The Principal Assistant Election Officer/Secretary will provide secretarial and administrative support on a variety of tasks for the efficient and effective running of the respective Principal’s office.
Key Duties and Responsibilities:
- Responsible for secretarial services and taking dictation, transcribing, editing and presenting accurate and error-free work;
- Managing all front desk requirements in the office;
- Courteously and professionally responding to inquiries of a routine nature;
- Managing office equipment such as; telephone, photocopying machine, computers and fax machine;
- Maintaining records including filing minutes, correspondences and other documents in proper order and in accordance with security and office procedures;
- Performing routine administrative office functions;
- Managing and accounting for office imprest;
- Any other official duties as assigned.
Qualifications, Skills and Experience:
- Uganda Certificate of Education with at least two (2) credits including English Language and three (3) principle passes; and
- A UNEB or UBTEB Diploma in Secretarial Studies or Office Management or an equivalent qualification obtained from a recognized institution.
- Possession of an honors bachelor’s degree in Secretarial Studies or Office Management from a recognized University/Institution is an added advantage.
- At least eight years of relevant working experience in Electoral Commission at least three (3) of which should have been served at the level of Senior Assistant Election Officer Grade I or equivalent level of relevant experience as a Personal Secretary to a Senior Executive in a busy and reputable organization.
- Proficiency in MS Office applications (MS Word, Excel, Power Point and Internet);
- Good knowledge of modern office practice including filing systems and operation of office machines;
- Excellent communication skills and ability to understand and carry out oral and written directions;
- High moral character and integrity;
- Good interpersonal skills;
- Neat appearance and excellent customer care skills;
- Ability to work under tight deadlines;
- Mature personality and ability to work with minimum supervision.
- AGE: Not below twenty-eight (28) years of age.
