Job Summary: The Procurement Officer will carry out the implementation of the procurement cycle in line with Baylor-Uganda Procurement and Disposal policy and procedures for the timely availability of quality goods works and services at the most competitive prices in line with Baylor-Uganda’s mission, vision and values.
Key Duties and Responsibilities:
- Carry out market surveys and under the guidance of the procurement coordinator in accordance to the Baylor-Uganda policy guidelines in line with Baylor-Uganda procurement guidelines.
- Organize the relevant information/documents to be used in both the Evaluation and Contracts committee meetings then take and file minutes as required by Baylor-Uganda procurement guidelines.
- Keep and update procurement records on a quarterly basis relating to suppliers, different user department procurement needs, approved contracts as required by Baylor-Uganda procurement guidelines.
- Receiving, recording and distributing incoming mails in Procurement unit in line with Baylor-Uganda procurement guidelines.
- Make follow up of supplies to be delivered within the stipulated delivery period according to the terms of the order/contract/agreement and give feedback to users as regards the progress of their requisitions in line with Baylor-Uganda procurement guidelines.
- Provide technical support to user departments in specification development and contract management in line with Baylor-Uganda procurement policy guidelines.
- Preparation of Purchase order documentation and contracts of goods, services and works in accordance with Baylor-Uganda procurement guidelines.
- Establish and document the supplier’s service delivery given the user’s remarks for future reference then prepare documents for payments to suppliers and verify the user s as per procurement manual.
Qualifications, Skills and Experience:
- The applicant must hold a University Degree in Procurement and Logistics Management, or any other relevant Degree.
- Part Professional Qualification such as Level 4 CIPS is an added advantage.
- One to three years of relevant experience.
