Job Summary: Reporting to the Vice Provost for Student Affairs and Services, the incumbent will be charged with responsibilities akin to a Dean of Students.
This is an important leadership position and will drive the implementation of the student experience policies and strategies in addition to the planning and implementation of student orientation programmes across all programmes and entities in Uganda. Working closely with the Registrar in Uganda, the incumbent will be responsible for academic timetabling and managing relevant spaces for academic purposes within the University centre, support for the outreach activities, oversee extracurricular student-related programmes, identify the development needs of students, maintain a productive learning environment and stay up to date on important student affairs.
Key Duties and Responsibilities: Specifically, the incumbent will be responsible for:
- The management, growth, and enhancement of non-academic activities, extracurricular programmes, and co-curricular experiences for students both within and outside the University community.
- Leading the creation and execution of plans and schedules for communication and promotion of student-focused activities and events.
- Recognizing any concerns or matters that impact the quality of campus life and informing the Vice Provost (Student Affairs and Services) about them to enable Vice Provost stay aware of the overall atmosphere and experiences of students on campus.
- Representing the needs and interests of students, both in informal and formal settings.
- Engaging students with Aga Khan University as their “Alma Mater” by fostering university citizenship during their time at AKU. He/she will be tasked with building a community of ‘alumni in waiting’ through engaging the students in various activities to develop sustainable connection as future alumni.
- Being the initial contact person for students and other stakeholders who require assistance or have concerns and escalating where required.
- Collaborating closely with the Registrar in Uganda regarding student housing matters at Aga Khan University, including helping international students find suitable housing options in Uganda.
- Managing the Student Code of Conduct and Disciplinary Procedures for students enrolled in Uganda programs.
- Creating a yearly report that includes evaluations, recommendations, and resource needs for implementing changes and improving the services offered to students.
- Fostering a strong sense of ethical conduct by collaborating with students to establish and uphold a code of honour, professional ethics, and social responsibility.
- Being accountable for developing and overseeing the budget of the Student Experience office in Uganda including managing the office’s operations, coordinating with various programmes and staff members.
Qualifications, Skills and Experience:
- The applicant must hold a post graduate degree
- Three to five years of experience in a similar role with knowledge of Higher Education Sector and its administration.
- Strong IT skills with proficiency in Word, Excel, Databases, Outlook, and social media platforms such as Twitter (now rebranded to X) and Facebook.
- Familiarity with web content management systems.
- Commitment to promoting equality, diversity, and inclusivity in the university environment.
- Ability to work with a diverse student community and cultural sensitivity.
- Excellent verbal and written communication skills for effective interaction with students, university departments, and external organizations.
- Strong interpersonal skills, including being helpful, patient, empathetic, and able to work in a team.
- Experience in managing a high-volume workload with speed and accuracy, adhering to demanding deadlines and attention to detail.
- Proactive and flexible approach to work, adapting to changing situations.
- Understanding of confidentiality and safeguarding when working with vulnerable populations.
- Ability to build positive relationships with students, parents, and staff.
