Job Summary: The Project Support Assistant (PSA) is primarily response for the effective and efficient operations finance at field location level. The PSA supports the Team in (Finance functions) and ensures a smooth running of finance related functions in of the project activities and operations at field level. The role entails managing daily accounting functions including, timely recording of transactions, petty cash management and reporting.
The function shall also support in areas of Logistics, Fleet, Procurement, HR and Administration. The job demands careful attention to routine systems and procedures and complete integrity at all times.
The PSA ensures that WCH’s financial, processes and procedures are adhered to and works effectively and efficiently to enable project staff and other stakeholders carry out War Child Programs smoothly. Key areas are outlined below;
- Finance & Accounting
- Documentation,
- Archiving and
- Timely Reporting
Key Duties and Responsibilities:
- Daily accurate and complete recording of financial transactions (cash) in Unit4, which includes checking of accountabilities of PO’s and Team Leader, and ensuring adherence to authorization matrix.
- Maintain an overview of advances paid and ensure timely redemption at least before month end.
- Review and verify all field office payments ensuring that all transactions have full supporting documents
- Responsible for making all field office payment and keeping proper books of accounts.
- Manage the office petty cash fund and prepare monthly cash counts Reconciliations.
- Responsible for proper archiving of all financial documents, and timely submission to Country Accountant
- Manage the field office Mobile Money system and prepare and send Weekly & Monthly reconciliation reports to the Country office/Country Accountant
- Responsible for proper archiving (physical and digital) of all financial documents, and timely submission to the Country Accountant and update of the Share point folders
- Manage field office Balance Specifications and make Monthly Reports to the country Accountant
- Perform any other duty as may be assigned.
NB: In the field offices with no dedicated Logistics staff, the PSA will be responsible for ensuring efficient and effective general logistics tasks, admin and HR roles. Coordinate logistics & Admin operations at field office ensuring that accurate and complete logistics, administrative, HR, reporting and internal control systems are functioning in accordance with WCH policies and procedures.
Qualifications, Skills and Experience:
- The applicant must hold a degree in Finance, BCOM, Business Administration or any other related area.
- One to two years of work experience, preferably with an (i)INGO in the areas of finance and accounting.
- Knowledge in UNIT 4 accounting package is an added advantage.
- Ability to speak and write good English.
- Proven work experience in finance and Accounting.
- Good computer skills; proficient in Word, Excel and PowerPoint.
- Ability to organize, multitask and prioritize.
- Good communication, planning and organizational skills.
- Able to work independently and accurately.
