Job Summary: The Sponsorship Systems Coordinator will administer overall sponsorship database (ASISt) and processes to enhance the sponsorship recording, monitoring and reporting system to a high-quality standard with accuracy and timeliness. Ensure that sponsorship operations requirements are met as defined by the Policy and Procedure Manual.
The role holder will occasionally or as may be required also supplement support to the IT department to facilitate the development, management and maintenance of the IT environment and infrastructure for better sponsorship rollout, provide technical support for secure, efficient and effective IT operations/solutions, trouble-shooting and resolving computer and internet related issues, network administration and maintenance of all computer related equipment and software, to include updating of Windows and Anti-virus files.
Key Duties and Responsibilities:
- Maintain ASISt (Automated Sponsorship Information System) to ensure it is always secure, up and running, and its functionalities fully utilised.
- Process the weekly downstream and carryout subsequent processes within the given timeline and create upstream bimonthly and submit it to Westport on time.
- Maintain data integration between ASISt and Westport ASISt, and Uganda ASISt.
- Check Sponsorship email accounts, acknowledge sponsor’s email, track correspondence timeframe system and forward the mails to respective staffs for action as well as record sponsors email address in the email database.
- Ensure timely submission of required number of new child inventories each month with accuracy as per the set plan of action, coordinating with team and ensuring the data is up to the required standard.
- Roll out Sponsorship system initiatives (migration to e-forms and Child videos) in a timely and quality manner.
- Plan, guide and support Annual Processes (Annual Family Update, Mid-Year Eligibility Check, Self-Assessment) to ensure that the Country Office meets the required timelines and quality as per Sponsorship Standard guidelines.
- Ensure that ICT challenges faced by the Sponsorship team are logged into JIRA system.
- Support the Sponsorship Operations team in tracking and verification of Annual Family Update data and photo quality.
- Support the Sponsorship staff in troubleshooting day-to-day system challenges and curbing Sponsorship operations.
- Regularly update the Regional Program Manager on status of performance for more effective sponsorship management
- Build the capacity of staff and partners on Sponsorship operations, Inventory collection, Annual Family Update, Mid-Year Eligibility Collection and updated sponsorship policies.
- Compile periodical and overall monthly Sponsorship Operations statistical and system performance report to the Regional Program Manager.
Qualifications, Skills and Experience:
- The ideal candidate must hold a Bachelor’s degree in Information Technology, Computer Science or related field from a recognized university. Other qualifications in computer networking, information security and database systems will be an added advantage.
- Five years of progressive experience in sponsorship operations some of which should have been in sponsorship systems.
- Critical thinking/questioning, self-drive and innovative
- Ability to work under pressure
- Experience of working with local partners and District Local Government in Health, Education, HIV/AIDS or Child Protection program delivery
- Ability to speak the local language and directly interact with target group will be an added advantage
- Strong analytical skills and strategic planning abilities.
- Ability to establish and maintain conducive collegial relations and perform effectively as a member of a team.
- Willingness to travel and work in hard-to-reach areas, occasionally under strenuous conditions.
- Computer literacy and excellent documentation skills are a must.
- Availability and willingness to work extra hours during times of humanitarian responses.
- Highly developed cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
- Ability to intervene with crisis management or troubleshooting as necessary.
- Highly developed interpersonal and communication skills including influencing, negotiation and coaching
- Excellent time management and planning capacity
- Availability and willingness to work extra hours during times of humanitarian responses.
