Job Summary: We are seeking a highly motivated and detail-oriented individual to join our team as an Administration and Finance Assistant. This role will play a crucial part in providing administrative support to various departments and assisting with finance-related tasks.
The ideal candidate should have excellent organizational and communication skills, strong attention to detail, and a proactive approach to problem-solving.
Additionally, we prefer people living in areas of Kira, Kyaliwajjala, Namugongo, Kireka, Najjera radius for purposes of convenient commute.
Key Duties and Responsibilities:
- Provide comprehensive administrative support to various departments, including managing calendars, scheduling meetings, and handling correspondence.
- Assist with financial tasks, such as processing invoices, expense reports, and purchase orders.
- Maintain accurate and up-to-date financial records and documentation.
- Conduct financial reconciliations and assist with budget monitoring and forecasting.
- Collaborate with team members to ensure timely and accurate completion of financial tasks and reports.
- Assist in the preparation of financial statements, presentations, and reports for management.
- Perform general office duties, including filing, data entry, and maintaining office supplies.
- Handle incoming calls and inquiries, providing exceptional customer service to internal and external stakeholders.
- Support the coordination of travel arrangements, accommodations, and logistics for staff members as needed.
- Assist with special projects and other ad hoc tasks as assigned.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in finance, accounting, business administration, or a related field (or equivalent work experience).
- Two to three years of experience in an administrative or finance role is preferred.
- Proficiency in using financial software, spreadsheets, and other office productivity tools.
- Strong numerical aptitude and attention to detail, with the ability to maintain accuracy while working with financial data.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional written and verbal communication skills.
- Ability to work both independently and collaboratively within a team.
- Strong problem-solving skills and a proactive approach to identifying and resolving issues.
- Discretion and confidentiality when dealing with sensitive financial information.
- Knowledge of relevant legal and regulatory requirements is an advantage.
