About US:
Tufts Global Inc. is a subsidiary of Tufts University in Uganda. They are implementing the Karamoja Resilience Support Unit (KRSU) project funded by USAID. The project works closely with the Karamoja Development Partners Group (KDPG) to provide reviews, studies and analysis of development and humanitarian programs in Karamoja, and related policy issues. Our focus is translating evidence into practice and fostering collaborative learning to strengthen policy environments and program impacts. KRSU activities investigate emerging trends, best practices, and promising strategies.
Job Summary: The Administration and Accounting Officer will work closely with the Finance and Operations Manager (FOM) to streamline effective administrative including: procurement and logistics, filing, and accounting processes. A successful person in this role will be a highly motivated person with readiness to learn and adapt to circumstances as and when they arise. The person should be able to independently perform assigned tasks and bring ideas to implementation as well as ability to multi-task, prioritize, problem solve and keen attention to details. The person should have an interest and ability to work in remote environments. An awareness of and sensitivity to culture and local traditions is critical.
The Administration and Accounting Officer will provide Administrative, Accounting, Procurement, and Logistics support as detailed below.
Key Duties and Responsibilities:
Administration
- Provide office support services for the management of office reception, receive, and attend to visitors and direct them as appropriate.
- Attending to all incoming and outgoing office telephone calls to ensure office telephones are used appropriately.
- Monitor and control office supplies and consumables and ensure that proper records are maintained.
- Maintain and update fixed asset register and carry regular asset verification exercise.
- Support establishment, and maintenance of a filing system and ensure all financial and administrative documents are properly filed.
- Prepare procurement requests for goods and services in line with Tufts Global Inc procurement practices.
- Provide administrative support during trainings, workshops, and meetings; ensure proper room arrangements and facilitation of participants; and ensure that all meeting logistics are in place.
- Work with the technical staff to prepare invitations for meetings/workshops and follow up with participants as needed.
- Coordinate all domestic travel and hotel arrangements related to KRSU II project activities.
- Ensure that all travel arrangements follow USAID regulations and Tufts Global procedures.
Finance
- Ensure timely preparation and processing of payments by ensuring that all payments are reasonable, allowable, allocable to the project and ensuring the payments are adequately supported.
- Carry out banking transactions which include initiating payments in BOL, writing cheques, EFTs etc. while strictly observing the laid down cash handling procedure.
- Manage petty cash and petty cash transactions in line with Tufts Global Inc. policies and guidelines.
- Work with FOM to address all HQ report review comments including providing feedback for missing vouchers and outstanding information following review of payment documentation.
- Work with FOM to maintain close coordination with KRSU II project staff on financial matters and advise them, as appropriate, on matters requiring their attention.
- Assist the FOM to ensure that Tufts Global financial management policies and procedures and USAID regulations are strictly adhered to. This includes ensuring that all policy directives and various checklists circulated by HQ are implemented.
Qualifications, Skills and Experience:
- Bachelor’s degree in B.COM, BBA, and/or other relevant field,
- At least two years of experience in administration and accounting with an INGO
- Excellent verbal, written, interpersonal, and presentation skills in English Excellent skills and a proven ability to establish and maintain interpersonal and professional relationships
- Knowledge of Ms office packages like Excel, Word, and PowerPoint is desired.
