Job Summary:  The Office Assistant will mainly maintain office welfare, manage and support daily activities in order to enhance office cleanliness and timely delivery of official correspondences and service delivery

 

Key Duties and Responsibilities:

Office management      

  • Manage office welfare and cleanliness to enhance staff well-being and tidiness of work environment
  • Maintain and arrange office furniture/equipment to ensure safety and security
  • Supervisor office cleaners to ensure tidiness and good hygiene
  • Prepare office tea and refreshments to improve staff well-being
  • Arrange venues for meetings and availability of equipment and welfare
  • Receive, record and distribute incoming documents to enhance proper accountability for official correspondence

Clerical support 

  • Maintain record of incoming and outgoing mails to enhance easy tracking
  • Assist in clerical work; photocopying, binding, filing and scanning of documents
  • Weed and transfer semi-active documents to enhance good records management
  • Maintain and monitor office supplies to ensure adequate inventory levels and anticipate requirements
  • Purchase office items and submit timely accountability of disbursements
  • Maintain office supplies to determine and anticipate requirements
  • Provide other clerical support as may be assigned by Supervisor

Qualifications, Skills and Experience:

  • The applicant must hold a Uganda Advanced Certificate of Education; Diploma in Secretarial/Office & Information Management Studies; Business/Public Administration; Records and Office Management.
  • At least two years of proven experience in related position with a reputable organization
  • Knowledge of office cleanliness, records management
  • Organizational and time-management abilities
  • Good communication and interpersonal skills
  • Problem-solving and decision-making
  • Self-driven and flexibility to handle pressure
  • Age Limit: below 35 years

 

Desirable   

  • Certificate in Computer Applications
  • Training in Customer Care and/or Public Relations
  • Training in Records management
