Job Summary:  We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

 

Job Purpose: The Job Holder is responsible for providing administrative support to ensure efficient operation of office.

 

Key Duties and Responsibilities:  

  • Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and maintaining an organized, clean office environment.
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Organize travel arrangements for senior managers and Book conference calls, rooms, taxis, couriers, hotels, etc.
  • Maintain filing system, contact database, employee list and supplier’s lists
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Manage Staff appointments
  • Coordinate repairs of all office equipment.
  • Any other duties as maybe assigned from time to time.

Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in Business Administration/Public Administration.
  • Should possess at least two years of consecutive administrative assistant experience or relevant work experience.
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat.

 

Skills and Attributes.

  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and scanners
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task.
