Key Duties and Responsibilities:
- Be the front desk contact person for the Country Office.
- Performing office messenger roles.
- Prepare meeting agendas, attend meetings and record and transcribe minutes and distribute to all staff.
- Answer telephones, direct calls and take messages.
- Compile, copy, sort and file records of office activities, business transactions and distribute to all staff.
- Make accommodation, entertainment and timely travel arrangements for NRC staff and visitors by liaising with hotels, flight operators, travel services as well as receiving and reviewing travel authorization forms for both in country and international travels.
- Process and prepare documents, such as payment requests/claims for finance to review, or government forms and other related documents for CD’s signature.
- Assist the logistics officer in day-to-day inventory as well as providing bidding documents and information to bidder with guidance of logistics team.
- Supporting the supervision of office cleaners.
- Keenly monitor stocks of office supplies (paper clips, stationery) and order when there are shortages and issuing officer consumables to the cleaners/gardeners.
- Operate office machines, such as photocopiers and canners, facsimile, voice mail systems and personal computers.
- Complete work schedules, manage calendars an arrange appointments.
- Communicate with service providers, visitors, employees and other individuals to answer questions, disseminate or explain information, take orders and address complaints.
- Any other duty assigned.

Qualifications, Skills and Experience:
- The applicant must hold a diploma in Office management, or related field.
- At least two years of experience working with a busy HR department/humanitarian organization.
- Experience from working with administration.
- Documented results related to position responsibilities.
