Yalelo (U) Limited is a tilapia fish farm that was established in Uganda in 2019. The farm is located in Butembe, Buikwe district on the shores of Lake Victoria. Yalelo Uganda is a subsidiary of First Wave Group B.V; a Dutch company with a portfolio of aquaculture related assets in Africa. First Wave Group owns and operates Yalelo Zambia, a pioneer of Aquaculture founded in 2011 that has grown quickly to become the leading fish farm in Zambia and among the largest aquaculture farms in Africa.
Job Summary: The Executive Assistant is responsible for managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the CEO.
Key Duties and Responsibilities:
- Manage the executive diary of the CEO, schedules, and sending reminders of due appointments.
- Prepare minutes during meetings, maintain an activity tracker and follow up with respective team members on agreed action items.
- Prepare reports, memos, and other correspondence on behalf of the CEO and ensure proper handling of all confidential information to and from the CEO’s office.
- Manage and screen all telephone calls to the CEO’s office and making outgoing international calls on behalf of company staff.
- Receive the CEO’s visitors, make hotel reservations and arrange travel documents where required.
- Support Human Resources related activities for example offer’ signoffs among other activities.
- Make adequate preparations for all meetings to be held by the CEO including but not limited to arranging for refreshments, the venue, and other necessities.
- Manage the CEO and Executive team’s travel itinerary/hotel reservations for both local and international travels.
- Maintain high office standards and a professional working environment at all times.
- Maintain office consumables levels for the CEO’s office and other Senior Managers.
- Handle petty cash in CEO’s office and making proper accountability.
- Process visas for staff with the different embassies.
- Ensure office machinery and appliances in CEO’s office are working properly.
- Manage office stationery and supplies and always ensure adequate levels.
- Manage and supervise activities of office assistants.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree in any relevant academic field.
- A minimum of two years of experience in a similar role.
- Strong interpersonal and excellent communication skills.
- A strong team-player.
- Able to interact and communicate at all levels within the organization.
- Robust and resilient by nature with demonstrable experience in working under pressure.
- Experienced Microsoft Office Suite skills including Outlook, PowerPoint Word and Excel and Microsoft Teams.
- Ability to coordinate multiple activities for self as well as others and manage competing priorities
