Job Title:   Executive Projects Assistant

The International Policy Center for Sustainable Development (IPC4SD) is a not-for-profit private development organization headquartered in the United Kingdom and works at the frontline of accelerating the achievement of Sustainable Development Goals (SDGs) through people empowerment and policy elaboration.

 

Key Duties and Responsibilities:

Providing support to project implementation, guaranteeing quality, efficiency, and effectiveness.

  • Provides administrative and operational support on the implementation of projects;
  • Assist in projects financial resources management, human Resources Management, efficient procurement, and logistical services;
  • Supports the elaboration of projects related to Terms of Reference;
  • Participation in selection processes for Letters of Agreement signature (LoAs), as well as undertaking activities related to LoAs monitoring;
  • Participates in consultant’s selection panels;
  • Support to follow-up on project auditing issues;
  • Follow-up, on a daily basis, with project partners and donors, to guarantee smooth implementation of administrative and operational activities of the project;
  • Elaboration of project revisions in the Atlas system;
  • Undertake other project-related ATLAS transactions, in line with the project assistant profile;
  • Maintain up-to-date files and records of project documentation;
  • Provide logistical support for workshops and other meetings as tasked by the project manager;
  • Process project-related travel arrangements;
  • Perform any other tasks assigned by the supervisor

Supporting the planning, monitoring, and evaluation activities of projects, in articulation with the Project Manager.

  • Support the elaboration of project work plans;
  • Support the elaboration of project procurement plans;
  • Support the organization of project reviews/tripartite meetings;
  • Support the timely preparation and submission of progress reports, donor reports, project reviews, financial reports, audit reports, and any other required project reports;
  • Perform any other tasks assigned by the supervisor.

 

The key results will support the efficiency and effectiveness in the implementation of the projects, in accordance with IPC4SD policies and procedures and donor requirements.




Qualifications, Skills and Experience:

  • The applicant must hold a University degree, preferably in administration, social sciences, international relations, law, or related area.
  • A minimum of six years of relevant, practical working experience in development-related projects, preferably with hands-on experience in projects implementation;
  • Experience working with government counterparts;
  • Experience in the usage of computers and office software packages (MS Word, Excel, PowerPoint, etc.).
