Mountains of the Moon University was established as a private chartered university under the
Universities and Other Tertiary Institutions Act of 2001 to provide quality
teaching and learning that is relevant and competitive; offer courses that
address the needs of the local, national and international community; promote
research for the social- economic and political development of the country; and
engage in activities for self- sustainability. The Ministry of Education and
Sports appointed a Taskforce to manage the Transition of MMU from Private to
Public University for the next two years.
Job Summary: To provide administrative and secretarial services.
Key Duties and Responsibilities:
- Provide secretarial services to the Faculty Deans Office.
- Receive and attend to all incoming and outgoing mails in Faculty Deans Office.
- Receive and answer telephone calls in Faculty Deans Office.
- Maintain the filing system in the Faculty Deans Office.
- Supervise the cleaning and arrangement of the Faculty Deans Office.
- Procure stationery and office equipment for the Faculty Deans Office.
- Supervise support staff in the office of the Faculty Deans.
- Record and produce minutes of the divisional meetings.
- Manage the flow of email and phone calls as appropriate.
- Maintain efficient records management system, both electronic and manual.
- Ensure the Faculty Deans is appropriately prepared for meetings.
- Perform any other duties assigned by the supervisor.
Qualifications, Skills and Experience:
- Honours Bachelor’s Degree in Secretarial Studies or Office Management from a recognized institution or an Honours Bachelor’s Degree plus a Diploma in Secretarial Studies / Office Management or UNEB Certificates Stages I, II & III
- Should have at least a three (3) years’ experience in handling secretarial duties.
- Demonstrated computer literacy skills.
- Ability to operate standard office equipment.
- Good interpersonal and communication skills.
- High level of integrity.
Competences
- Ability to handle clients in a courteous manner
- A team player with a good interpersonal manner
- Good communications skills
- Proficiency in using MS Office with a typing speed of at least 40 wpm.
- Time management.
