Key Duties and Responsibilities: The intern will perform the functions specified in the Terms of Reference (TOR) listed below:
- Assist with identification of potential vendors of goods and services from the market applying MS 502 FAO procurement rules and regulations,
- Under the guidance of the supervisor, perform procurement processes of goods from suppliers applying MS 502 FAO rules and procedures; drafting Invitation To Bids, receipt of quotations, bids or proposals, support and coordinate their evaluation, negotiation of certain conditions of contracts in full compliance with MS 502 FAO procurement rules and regulations; and assist in conducting the procurement activities in the field offices,
- Assist to maintain the procurement supplier data base as well as update vendor list/information based on common category by process supplier call for expression for interest, support evaluation of suppliers ability and clearance to work with FAO,
- Assistant in the solicitation of low value procurement quotations, evaluating and issuing low value procurement orders,
- Assist in communicating procurement award decisions to relevant stakeholders,
- Receiving and dispatching incoming and outgoing correspondence from procurement office, with the guidance of the supervisor,
- Participate in receiving and reviewing invoices, registering and forwarding them to finance for payment.
- Participate in maintaining a proper and appropriate procurement filling system; of procurement registers for contracts, procurement plan, ensuring an end to filing of procurement records that ensures faster, systematic filing, faster retrieval of information, greater protection of information, and increased administrative stability, and continuity,
- Under the guidance of the supervisor, draft correspondences (minutes) for the local procurement committee, draft financial analysis for procurement offers,
- Under guidance, raise Purchase orders for goods and services for MS 502 in the FAO ERP system,
- Perform other related duties as required.
Qualifications, Skills and Experience:
- The applicant must be enrolled in an under-graduate, graduate degree programme in a “bona fide” educational institution at the time of application or recent graduate. Please note that FAO only considers higher educational qualifications obtained from an institution accredited/recognized in the World Higher Education Database (WHED), a list updated by the International Association of Universities (IAU) / United Nations Educational, Scientific and Cultural Organization (UNESCO). The list can be accessed at http:// www.whed.net/
- Candidates must specialize in a field relevant to the mission and work of FAO.
- Working knowledge of at least one FAO language (Arabic, Chinese, English, French, Russian or Spanish).
- Knowledge of a second FAO language will be considered an asset.
- Be nationals of Uganda.
- Candidates should be aged between 21 and 30.
- Candidates should be able to adapt to an international multicultural environment and have good communication skills.
- Candidates with family members (defined as brother, sister, mother or father) employed by FAO under any type of contractual arrangement are not eligible for the Internship Programme.
