Our mission is to plant the seeds that overcome poverty by providing access to economic empowerment, education and spiritual discipleship among marginalized communities in Uganda and beyond.
Job Summary: The Administrative Assistant provides administrative support to ensure efficient operation of the Organization. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures.
Key Duties and Responsibilities:
- Receives and directs organization calls
- Organize and schedule organization meetings and appointments
- Ensures proper record keeping of organization documents
- Order office supplies and arranges payments for organization supply
- Book travel arrangements
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating ill professional societies
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Takes accurate minutes of meetings
- To develop an effective Administrative system for the organization
- Conducts performance appraisal for staff under your supervision
- Assists the Human Resource Officer in Monthly analysis of the staff attendance record
- Any other task assigned to you in your competence
Qualifications, Skills and Experience:
- The applicant must hold a bachelor’s degree in Secretarial Studies, Office Administration, Business Administration or an equivalent, from an accredited institution, Essential.
- Certified Administrative Professional (CAP) certification or related professional certification is desired.
- Two years of proven experience as an Administrative Assistant, Executive Assistant or in other secretarial position is essential.
- Personal confession of faith in Jesus Christ and a passionate commitment to Seed Effect’s mission to serve as a holistic tool to live out the Great Commission alongside the Great Commandment as we empower the poor to know and follow Christ, plug into the local church, and overcome physical poverty.
- Demonstrated proficiency of MS office packages is desirable.
- Ability to demonstrate servant leadership skills
- Full comprehension of office management and administration systems and procedures.
- Demonstrated efficiency in minute taking, report writing and record keeping
- Accountability and Dependability: Takes personal responsibility for the quality and timeliness of work and achieves results with little oversight.
