Job Summary: The Office Assistant will provide day-to-day clerical and administrative support to AKF Uganda Country Office and the programme team in facilitating and coordinating with various departments including but not limited to finance, administration, programmes and procurement while adequately representing and protecting the interest and image/reputation of the Organization. The position provides significant support to the Country Office and is key for ensuring the day-to-day cleanliness and orderly maintenance of the interior of the office premises as well as provision of refreshments to staff and visitors/guests. The role therefore calls for a trustworthy person, with a pleasant and courteous character
Key Duties and Responsibilities:
- Ensuring and maintaining a pleasant, orderly and clean interior office environment reflective of AKF image
- Orderly maintenance of the kitchen and pantry; this involves regularly cleaning the kitchen worktops, utensils, cutlery, cups and glasses.
- Preparation and serving of office tea and other refreshments to Staff and guest/visitors as and when required
- Prepare meeting room and boardroom for interviews and training sessions etc
- Working closely with the HR & Administrative Manager to ensure that there are adequate office supplies e.g. stationery and sundries; this involves regularly checking and making a requisition list for required supplies on timely basis
- Support the front desk by receiving calls and directing them and welcoming visitors at the reception.
- Operate office appliances such as photocopier, printers, telephone and computers for word processing, spreadsheet creation etc.
- Receiving all correspondence including all materials/goods for onward distribution for field activities
- Providing logistical support in the absence office the HR & Administrative manager
- including driving the team when need arises within Kampala
- Supporting with the small ticket purchases as well as management of office maintenance supplies
- Assist with basic administrative/ secretarial duties such as filing, photocopying, delivery of documents etc.
- Perform any other duties and undertake that may be assigned from time to time by the team at the Country Office
Qualifications, Skills and Experience:
- The ideal candidate must hold a Diploma in any field.
- Experience as Office Assistant or other clerical position will be an advantage.
- Working knowledge of office devices and processes i.e., Photocopier, Scanner, telephone etc
- Positive attitude, willingness to learn and respond quickly to instructions.
- Smart and organized individual who can prioritize tasks and support multiple departments/teams.
- Able to work effectively in a highly collaborative team approach.
- Ability to drive and ride a motorbike (with valid permit) will be an advantage.
- Proficient in both spoken and written English.
