About US:

The Regional Service Centre in Entebbe, Uganda (RSCE) was established in July 2010, following the adoption of General Assembly resolution 64/269. The Centre provides efficient, client-oriented and scalable services with the goal of moving transactional, non-location dependent administrative functions to the Centre from its client entities. This includes transactional elements of human resources, finance, multimodal movement and control, personnel and cargo transport and information and communications technology (ICT) support.

 

Job Summary:  This position is in the Archives and Records Management Unit (ARMU) of the Regional Service Centre in Entebbe (RSCE). The Archives Assistant will report to the Information Management Assistant who oversees the Archives and Records Management Unit.

 

Key Duties and Responsibilities: Under the supervision of an Information Management Officer, the incumbent will perform the following duties:

  • Participate in paper and electronic records accessioning by receiving and processing requests to transfer records to the Archives and Records Management Section (ARMS).
  • Apply retention policy to identify records for disposal and liaise with originating offices to authorize disposals.
  • Assist in closing missions to transfer staff member’s personal records to ARMS at New York headquarters, as required.
  • Generate records inventories.
  • Perform data-entry as required.
  • Assist focal points of RSCE service line in preparing records for transfer from RSCE service lines to ARMU.
  • Participates in records management projects in RSCE, assembles records and creates electronic file lists in preparation for records transfer and arranges for their transportation from offices to storage facilities.
  • Support supervisor and another professional staff members by doing the electronic and paper filing, and assist in developing documents in standard applications such as MS Word, Power point and Excel.
  • Conducts end-user training relating to the electronic document and records management system at RSCE.
  • Participates in the transfer of OSFs to HRSD Registry, New York headquarters.
  • Perform other duties as required, particularly to support administrative processes.




Qualifications, Skills and Experience:

  • The ideal candidate for the United Nations Regional Service Centre at Entebbe (RSCE) Archives Assistant job must hold a High school diploma or equivalent.
  • At least three years of experience in library work, archives, information network administration, or related field is required.
  • Experience in records digitalization of paper archives to archival or preservation standards is required.
  • Experience in data entry is desirable.
  • Experience working in an international organization is desirable.
  • Languages: fluency in oral and written English is required. Knowledge of another official UN language is an advantage.
