Job Summary: DAI seeks an Administration and Logistics Assistant for a five-year (2019-2024), US$27 million USAID-funded agriculture intervention. The Feed the Future Uganda Inclusive Agricultural Markets Activity (FtF IAM) works with agro-industry/agribusiness firms, Government of Uganda institutions and agencies, and market actor organizations on creating efficiencies in cross-market functions that enhance systemic changes to sustainably increase incomes and improve the livelihoods of households through agriculture-led inclusive economic growth. The Activity contributes to the Global Food Security Strategy (GFSS) Uganda Country Plan goal of reducing hunger, malnutrition, and poverty, as well as the USAID/Uganda Country Development Cooperation Strategy’s (CDCS) 2016-2021 five- year goal of strengthening Uganda’s systems to accelerate inclusive education, health, and economic outcomes. The Activity works throughout the FtF Uganda Zone of Influence (ZOI), which covers 38 districts spread across three regions of Uganda.
Key Duties and Responsibilities:
- Work in close consultation with the Kampala procurement team to support and undertake regional procurements, such as gathering quotations, market research, receiving deliveries, prequalification of suppliers and vendors and report as necessary
- Obtain payment receipts from Suppliers/vendors
- Inspect goods or verify services, confirm delivery and receipt of goods, and monitor the use and disposition of goods.
- Responsible for procurement, storage, allocation and monitoring of office supplies by keeping an inventory of the supplies and ordering new materials as needed.
- Carrying out due diligence for suppliers, market surveys and on spot visits.
- Maintain custody and account for regional office petty cash.
- Responsible for routine administrative tasks, including but not limited to distribution of invitations, letters, books, meeting minutes, and other printed materials as needed.
- Support office with printing, copying and binding materials.
- Ensure Activity staff administrative needs are met like maintaining files
- Ensuring thorough cleanliness of the entire office throughout work hours
- Supporting Activity staff Maintaining files
- Welcoming visitors to the office, Answering phone calls, taking and delivering messages
- In collaboration with the other field office team members, ensure the office runs smoothly
- Organizing meeting rooms and attending to meeting participants
- Carry out any other duties and responsibilities as directed by the Finance & Logistics Officer.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s Degree or Diploma or equivalent experience.
- Three years of progressively responsible administrative experience.
- Experience with USAID procurement policy, or logistics preferred.
- Ability to apply instructions and interpret DAI and USAID policy.
- Previous experience with financial duties, including handling of petty cash.
- Warm personality with strong communication skills.
- Ability to work well under limited supervision.
- Great communication skills.
- Ability to demonstrate a high level of organization.
- Ability to work in a multi-cultural environment.
- Ability to write clearly and help with word processing when necessary.
- Fluent English required.
NB:
- DAI is requiring all staff to be vaccinated for COVID-19 if they wish to access DAI offices; participate in in-person meetings with staff, customers, or stakeholders; or travel on DAI business.
