The mission of the Infectious Diseases Institute (IDI) is to build capacity of health systems in Africa with strong emphasis on infectious diseases through research, and capacity development. IDI has five operational areas through which it works to achieve its mission: Prevention, Care and Treatment; Training, Research and Laboratory services (provided through a partnership with the Makerere University-John Hopkins University Core Lab) and Outreach.
Job Summary: The Finance & Administrative Assistant will provide finance, administrative and secretarial support to the project office, staff, and project consultants as appropriate. He/She will participate in the drawing of periodic work plans/budgets in relation to the set targets, account for all the project field funds and ensure proper utilization of project assets and equipment. Develop a database of contact information; maintain distribution lists for various kinds of project communication and schedule all project meetings; attend and take minutes as appropriate.
Key Duties and Responsibilities:
- Support day-to-day project activities in the districts.
- Participate in drawing of periodic work plans/budgets-in relation to set out objectives and targets
- Ensure safe custody and account for all the project field funds and ensure proper utilization of project assets and equipment.
- Prepare all mobile money requests and ensure timely payment processing
- Work with the project teams to develop monthly schedules and collaborate with the Fleet Management Assistant in allocation of vehicles to support project activities
- Support in the management of project resources such as human resources, finances, vehicles among others.
- Prepare financial reports on a monthly, quarterly and annual basis.
- Assist with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage.
- Managing inventory of assets and supplies, monitoring the critical level of stocks.
- Coordinate project operating units in resolving day-to-day administrative and operational problems.
- Maintain a record of all schedules and minutes for meetings at the field offices
- Ensure that staff are aware of any important communications from time to time
- Ensure a smooth running of day to day activities by ensuring that project staff by ensuring availability of key supplies.
- And any other duties as reasonably assigned.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in accounting, business administration, finance, public administration or other related fields.
- Minimum of three years of experience working in finance in a public, private sector or international NGO environment
- Working experience in institutional development, project management and conversant working with MOH systems.
- Experience in managing US government funds (rules and regulations) will be an added advantage
- Basic accounting and book keeping skills
- Excellent communication, organization and management skills
- Excellent interpersonal skills and can work in a team
- Has basic computer literacy including word processing, excel, the internet and PowerPoint.
- Ability to work independently and with minimal supervision
