Job Summary: StrongMinds Uganda is looking for dynamic, suitably qualified and experienced nationals to fill the vacant positions of Finance Coordinator based in Kampala with 30% travel to SMU field Offices. Under the Leadership of the Finance Manager, the Finance Coordinator contributes to the overall success of StrongMinds strategic objectives by providing technical expertise and oversight in the areas of.
Key Duties and Responsibilities:
Grants Management
- Cost allocation and Cost recovery
- Review payments for budget availability and allocate costs by class including amortization of non-Payroll costs and benefits. i.e Rent, Mobile Airtime, Internet, Depreciation and Property insurance
Budgeting & track for Restricted or donor Projects (RPs)
- Allocate payroll costs from Payable account to P&L by class
- Recover costs from Restricted pr Donor Projects.
- Prepares Grant and Project Financial Reports, and support external audit
- Brief Heads of Departments & Program Leaders on new grants including staff time allocations, budget management, spend down requirements and allowed expenses.
- Provide on ongoing guidance to finance and non-finance staff and coordinate efforts to ensure compliance with donor requirements.
- Implement a robust grant management system so that reporting, billing, and collection schedules are adhered to.
- Work with managers with grant budget responsibility to estimate fund requests on a timely basis to ensure resources are in place for carrying on project activities.
- Provide periodic meaningful analysis of program financial performance relative to grant requirements.

- Reviewing Partner Expense and updating QuickBooks with Transactions
Risk Management
- Maintain an up-to date assets register management
- Review Accounts Payable on monthly basis and ensure suppliers are paid and cleared
- Financial compliance and risk management; increased accountability; mitigation of risk within the Country Office.
- Reconcile all Invoices for SMZ SMUS and post bill backs
- Reconcile all VISA accounts for External payments
Planning, budgeting and reporting
- The FC will work closely with field offices, internal departments, and partners to ensure financial monitoring and operational compliance.
- Works with other staff to effectively support program quality, donor compliance and accountability to all stakeholders
Capacity building for Non-Finance Staff/Staff Management, coaching/mentorship, and development
- Facilitate Finance for non-Finance Managers ‘training(s); regular coaching and mentorship sessions to non-finance staff
- Awareness raising activities for operations and program technical staff regarding Finance priorities and quality standards
- Commitment/adhere to the Child protection/ safeguarding policy, code of conduct and other SM policies.
Qualifications, Skills and Experience:
- The applicant should hold a Degree in Commerce, Accounting or Business Administration from a recognized university or a relevant discipline.
- Partial or professional qualification in CPA, ACCA or other internationally recognized accounting qualification
- A minimum of five years of working experience in the accounting/finance department of an international NGO
- Experience in financial management, budget monitoring and financial reporting for donor grants
- Familiarity with QuickBooks accounting system will be an added advantage
- Good analytical skills and ability to present and report findings verbally and in writing
- Good knowledge of computer accounting packages and good understanding of major donor financial requirements, conditions and government budgets and tax policies
- Experience of working with local partners and district local government in Health, education program delivery
- Ability to establish and maintain conducive collegial relations and perform effectively as a member of a team
- Strong analytical skills and planning activities
- Highly developed cultural awareness and ability to work well in a collaborative environment with people from diverse backgrounds and cultures.
- Highly developed interpersonal and communication skills including influencing, negotiation and coaching
