Job Summary: The Logistics Assistant will support warehouse operations with respect to preparation, dispatch and delivery of customers’ consignments in accordance with the warehouse guidelines.
Key Duties and Responsibilities:
- Enter dispatch data into IFS and verify consignments being dispatched
- Follow customer orders, liaise with warehouse on status of order, consolidate & make available consignments at dispatch and ready for transportation to the designated facilities.
- Adhere to the project and Regular Order Delivery Schedule (RODS)
- Perform route optimization through the ERP, and draw shorter routes in order to minimize transportation costs, create a loading list bearing in mind the minimum delivery value and delivery schedule and share loading lists with the transporter to avail optimal trucks to ensure timely delivery
- Scan all stages for walk in customers and delivery orders (POA, POH, POHD and POD)
- Arrange documentation and verify with driver to ensure consignments are dispatched with proper paper work and dispatch items for waiting customers in the shortest time possible.
- Monitor and verify mileage sheets before approval for payment and follow-up on credit notes for any damages and loss during transportation
- Track vehicles in the field to ensure drivers adhere to routes.
- Scan Barcodes for proof of handling while loading and advise driver to do POD while delivering
- Authorize and verify all dispatches to ensure that they are accurate and have the necessary documents and are as per loading list
- Respond to any queries or complaints about quality and quantity of goods dispatched
- Retrieve documents from archive to be able to do proper follow up and liaise with warehouse personnel to determine the way forward.
- Sign and approve documents to enable dispatch of consignment
Qualifications, Skills and Experience:
- The applicant must hold a Diploma in Stores and Warehousing, Logistics, Customer Care.
- Training in Public Health related field.
- At least one year of experience in reputable logistics or service industry
- Numerical and analytical skills
- Knowledge of pharmaceutical products and other allied health care products is a requirement
- Honesty – Integrity and Dependable
- Flexible – ability to handle multiple tasks
- Interpersonal and communication skills
- MS Office proficiency
- Knowledge of SPSS & Stata
