Job Summary: Ayuda en Accion Uganda seeks a professional Program Support Assistant to support the program function of the organization at the regional coordination office, led by the Program Manager in coordination with the program staff. The Program Support Assistant provides substantive, organizational and logistical assistance to the program staff of AeA Uganda at the field Office in Adjumani. In this process, the Assistant will gain knowledge of the substantive and operational aspects of AeA Uganda’s programs.
Key Duties and Responsibilities:
The Program Support Assistant would be supervised by the Program Manager and would work closely with program staff, and s/he is expected to deliver the following tasks:
Resource Mobilization:
- Participate in and prepare input for preparing proposals for funding consideration including budget preparation
Program Management:
- Work alongside management staff in monitoring and supervision of planned activities under the organization’s four thematic areas of Value chains, Employment and Entrepreneurship, Protection/Solidarity Bonds and Humanitarian Response (COVID-19 Interventions), for example by elaborating on partners’ implementation of work plans.
- Support in the review of project activity budgets and financial reports where necessary.
- Contribute to developing minutes of field level and national programme meetings.
Monitoring and Evaluation:
- Support the Program Manager in improving/refining the M&E system to include research models of the M&E
- Provide guidance on improving AeA’s institutional reporting formats
- Support the programme team to regularly report on progress and implementation of activities
- Support reporting processes based on the performance of individual projects/initiatives and agreed outcomes, outputs, indicators
- Support and initiate the development of graphs to illustrate accumulated data for reports and presentations to stakeholders
Reporting and Communication:
- Support the writing of substantive reports and written contributions for various purposes, including inputs for donor reports, speeches, e-News, web-stories, fundraising efforts and other needs to provide the needed innovation for the growth of AeA Uganda program.
- Support research or studies on specific topics, when needed
Qualifications, Skills and Experience:
- Completion of an undergraduate/graduate degree programme of a recognized institution in a relevant programme
- Good written and oral communication skills in English and Spanish
- Ability to plan and organize work
- Resourcefulness, initiative, enthusiasm and detail-oriented
- Ability to work in a multi-cultural team environment
- Very good computer skills including knowledge and experience in all Microsoft Office software (PowerPoint, Word, Excel, Outlook, etc)
- Tech-savvy with knowledge of social networking tools, etc., is an asset
- Demonstrate commitment to AeA Foundation mission, vision, and values
- Display cultural, gender, religion, race, nationality and age sensitivity and adaptability
