Key Duties and Responsibilities: The Executive Assistant will be responsible for:

  • Act as administrative assistant in the General Manager’s office;
  • Manage the office of the General Manager and Deputy General Manager;
  • Focal point of contact for the GM’s office for staff;
  • Managing the GM’s calendars and schedules;
  • Screening callers and arranging appointments, meetings, conferences and events;
  • Handle the GM’s visitors in a courteous manner;
  • Handling sensitive information withy and confidentiality;
  • Assisting The General Manager in the preparation of documents, presentations for various meetings and ensure his attendance;
  • Design, establish and maintain a management information system, including physical and electronic files in the General Manager’s office;
  • Operate office equipment including copiers, facsimile machines and computers, input and retrieve data and text;
  • Ensures preparation and dispatch of all incoming and outgoing mails as well as confidential documents;
  • Plan and control requisition’s, supplies and stores to ensure availability when required for the General Manager’s office;
  • Arrange and prepare travelling, itinerary and protocols for foreign and local trips for the General Manager;
  • Co-ordinates and provides logistics support for the Corporate Management, Group visiting personnel as well as External Consultants;
  • Maintain close contact with the Head Quarters, particularly DIG Afrique to ensure appropriate sharing of information and smooth interface;
  • Develop and maintain good relationship with counterparts (executive Assistants) in the offices of Authorities, Partners, Embassies and Other institutions.
  • Assists the General Manager in the management of corporate issues in order to ensure that the company has a good projection at all times;
  • To ensure the smooth running of the General Managers office in an orderly manner;
  • Protect Company’s information and assets.

Qualifications, Skills and Experience:

  • The applicant must hold a University degree;
  • Nine years of related work experience;
  • Experience of working in multicultural environment;
  • Good administrative and organizational skills
  • Good knowledge of staff and company policies and procedures;
  • Computer literacy skills
