Job Title:    Operations Manager   Organisation: Jane Goodall Institute (JGI) Duty Station:  Kampala, Uganda Reports To:  Executive Director, Uganda   About US: Opened in 1991, the Jane Goodall Institute (JGI) Uganda country program office’s mission is to understand and protect chimpanzees, other apes, and their habitats, and to work towards creating an informed and compassionate critical mass of people who will help to create a better world, other animals, and our shared environment. We design and implement programs to ensure the conservation of chimpanzees and their habitats throughout Uganda and to build effective collaboration between local communities, governments, researchers, and conservation practitioners. We focus our efforts on increasing the capacity of local government and forest-adjacent communities to manage protected areas, engage communities in natural resource management sustainable livelihoods, and educate students about chimpanzees, wildlife, and sustainable environmental conservation.   Job Summary:  This position is responsible for overseeing all human resources, procurement, basic legal, inventory management and logistics activities for the Jane Goodall Institute in Uganda. The position’s responsibilities includes the oversight of several (i.e., drivers, caretakers, and administrative) staff of the country program team. Recruit, train, and oversee new operations team staff. Travel to remote locations throughout Uganda is required on an as-needed basis. Duty station is in Hoima, Uganda.   Key Duties and Responsibilities: 
  • Human Resources – Serves as the point of contact for all staff and consultant concerns related to human resources. Leads all recruitment of staff and consultants, including the preparation of SOWs, placement of advertising, vetting of candidates, contacting references, scheduling interviews, and preparing offer letters and contracts. Oversees monthly time sheets, requests for leave, ensuring appropriate documentation. Ensures all HR-related files are complete and up to date. Manages staff benefits (i.e., health insurance, professional development, severance, etc). Prepares the submission of immigration-related paperwork to the appropriate government authorities on behalf of JGI expatriate staff. Works with the JGI-USA human resources staff to ensure country program office’s full compliance with the JGI-USA Human Resources Manual.
  • Legal – Prepares and/or reviews all contracts, lease agreements, and memorandums of understanding (MoUs) related to country office operations and programs. Ensures full compliance with all contracts and leases. Resolves complex contractual issues with appropriate escalation and collaboration with Executive Director. Ensures all files related to legal matters are complete and up to date.
  • Inventory management and Logistics – Oversees the management of country program offices in Kampala and Hoima (i.e., leases, maintenance, repairs, landscaping, etc.) and inventory management of all equipment and materials therein. Oversight of vehicle fleet (i.e., purchase, insurance, maintenance, repair, fueling, scheduling) and their drivers. Makes work-related travel plans for staff as needed. Manages relationship with security company and guards at offices.
  • Procurement – The Operations Manager will oversee country program procurement, ensuring full adherence to JGI procurement protocols. Reviews bids for goods and services to determine the best value. Oversees procurement committees for larger purchases.
  • Budget Management – The operations Manager will over see the Operations and Administrative budget for the Ugandan office while monitoring monthly expenses.

Qualifications, Skills and Experience:
  • The applicant must hold an advanced degree in project management, business, administration, or related field.
  • Minimum 3-5 years of experience working in Uganda.
  • Minimum 3-5 years experience in grant management or program oversight.
  • Excellent oral and written communication skills.
  • Fluent in English, written and oral.
  • Ability to work with a wide range of stakeholders (donors, implementing partners, national workers, and service population).
  • Strong computer and accounting skills particularly word, excel, database, and accounting programs.
  • Cultural sensitivity and cross-cultural adaptation.
  • Ability to handle confidential and sensitive information.
  • Exceptional interpersonal skills, a collaborative style, and the ability to communicate effectively at all levels.
  • Detail orientation and high work ethic with a strong business acumen.
  • Appreciation for and willingness to commit to the corporate mission of JGI.
