established under the Lotteries and Gaming Act No. 7 of 2016 to supervise and
regulate the establishment, management, and operation of lotteries, gaming,
betting, and casinos in Uganda.
Job Summary: The
Administrative Officer – CEO’s Office will manage activities of the CEO’s
office
Key Duties and
Responsibilities:
Administration of CEO’s office.
- Responsible for authorisation and
controlled access to the CEO’s office. - Support the CEO in the documentation and
preparation of presentations and correspondences to management and other
Institutions in line with the Board’s guidelines. - Develop and monitor systems for
receipting and accountability of all correspondences. - Monitor progress on all incoming and
outgoing mails and provide feedback. - Organize and Coordinate CEO’s meetings
plan and prepare all logistics of meetings and keep track of all
appointments. - Maintain an updated dairy of the CEO.
- Maintain an update filing system for the
CEOs’ office. - Plan and monitor the transport needs of
the CEO’s office. - Make and follow up on appointments.
- Organize meetings, take minutes and
convey decisions of such meetings to relevant Officers/Offices. - Ensure timely responses to inquiries and
correspondences to and from the office. - Ensure that relevant documents for
meetings and speeches are produced on time. - Draft letters of routine nature.
- Manage records in accordance with
established security and records management procedure
General office administration
- Requisition and manage office stationery
and equipment. - Ensure cleanliness and tidiness of the
office premises, safe custody, security and confidentiality of official
information and documents.
Staff performance
- Manage the performance of staff under
direct supervision in accordance with the Performance Management
guidelines
Other Duties
- Perform any other duties as may be
assigned by the supervisor
Qualifications, Skills and
Experience:
- The applicant must either hold an
Honours Bachelor’s Degree in Secretarial studies or its equivalent from a
recognised university with one year experience OR a Diploma in Secretarial
Studies with at least 6 years of relevant experience in a reputable
organisation. - Certificate in the related field is
desired - Integrity, confidentiality and high
ethical conduct. - Conceptual, analytical and problem
solving skills. - Good report writing skills.
- Communication and presentation skills.
- Proficiency in use of office computing
applications. - Innovative.
